WhatsApp for sales teams: Every lead in one inbox, with one owner.

On the numbers your reps already use, with one-to-one chats logged in HubSpot or Zoho CRM.

Large sales organisations

Who works which leads, in every region and branch.

In a large sales organisation, roles and per-number access decide who watches, works and reads each region’s leads.

  • Queue duty per region

A manager per region works the shared queue, filtered to its numbers.

  • Team leaders per branch

They see their team’s chats and hand them on, notes included.

  • Quality teams read only

The Viewer role, or View on a number, reads but never replies.

  • Numbers limited by team

Each number open to all, or only to the teams you name.

WavesFlo Enterprise

What WavesFlo does for a sales team.

Each number is linked by QR code from WhatsApp’s Linked devices screen, and the phone keeps working.

Shared inbox

Every number’s enquiries in one list.

  • One list: chats and groups from every linked number arrive together.
  • Marked by number: each chat shows the number it came in on.
  • Replies match: the answer goes out on that same number.
  • Filters: by number, unread, assigned to you or the shared queue.

Ownership

One owner for every lead.

  • Assigned your way: round-robin within a team, or by hand.
  • Hand-offs keep notes: managers and team leaders pass chats on.
  • Typing shows live: so two reps don’t answer the same buyer.
  • Chats stay: when a rep leaves, their leads remain with the business.

Round-robin, like the rest of the inbox, is on Growth and Enterprise.

Access

Each rep sees the leads that are theirs.

  • Agents: only the chats assigned to them.
  • Team leaders: their own and their team’s chats.
  • Admins and Managers: every chat. Viewers read only.
  • Per number: open to all or to named teams, to view or operate.

CRM

One-to-one chats, logged in HubSpot or Zoho CRM.

  • Off until switched on: nothing syncs until an Admin turns it on.
  • Notes on the contact: one-to-one chats and opt-outs.
  • Not a CRM: stages and deal values stay in yours.
  • Other CRMs: n8n or Power Automate, via the REST API and signed webhooks.

The guide

How a sales team works WhatsApp leads.

On this page

WhatsApp works for a sales team when every enquiry lands in one shared inbox, each lead has one owner and one-to-one chats are logged in the CRM. Here is how, on the numbers your team already sells from.

The short version, for a WhatsApp sales team:

  • Catch every enquiry from every number in one shared inbox.
  • Give each lead one owner, by round-robin within a team or by hand from a shared queue.
  • Stop double replies with a live typing indicator.
  • Keep context in internal notes and a few shared labels.
  • Answer fast with quick replies the whole team shares.
  • Follow up on time, with approval before any bulk send.
  • Log every one-to-one chat in HubSpot or Zoho CRM natively, or in any other CRM or sheet through the REST API and signed webhooks, with n8n or Power Automate.

Why do sales teams in India sell on WhatsApp?

Because the buyer is already there, and one chat carries the whole sale: the question, the price, a quotation PDF with GST, a location pin for the site visit, a voice note in Hindi, a UPI payment screenshot. Enquiries arrive from IndiaMART, property portals, Click-to-WhatsApp ads, the website's chat button and visiting cards from trade fairs.

The trouble starts when it works. More enquiries bring more reps, phones and numbers, and leads slip: nobody knows who replied, two people answer the same buyer, and Saturday's enquiry is found on Tuesday.

Where does the free WhatsApp Business app stop working for a team?

The WhatsApp Business app is built around one phone: as of October 2026, the phone plus up to four linked devices. Its paid multi-agent feature, included with Meta Verified for Business and Meta One business plans, allows up to 10 devices and adds chat assignment, but WhatsApp says it may not be available to every business yet.

Many guides assume a WhatsApp Cloud API platform instead: a number registered on Meta's platform, where a business opens conversations only with message formats Meta has approved in advance and pays per delivered message for most of them, while replies inside the customer service window are free.

This guide keeps the numbers your reps already sell from, and works them as a team.

How does a shared WhatsApp inbox work for a sales team?

A shared inbox puts several numbers and several people on one screen. In WavesFlo, each number is linked by scanning a QR code from WhatsApp's Linked devices screen, like WhatsApp Web, and the phone keeps working.

Chats and groups from every linked number arrive in one list, each row marked with the number it came in on, and replies go out on that number: a buyer who wrote to the Pune showroom never hears back from the Mumbai one.

Filters cut the list by number, unread, assigned to you, the shared queue, label or chat type, and search matches a chat's name, number and latest message.

Each link uses one of the account's four linked-device places, and the phone must be opened at least once every 14 days or WhatsApp logs its linked devices out. Threads start on the day a number is linked.

More on the inbox page, in how to manage multiple WhatsApp numbers in one inbox, and in WhatsApp Business with multiple users, which compares every way to share one number.

How do you give every lead one owner?

Make ownership a routine. In WavesFlo a new chat can go to each rep in a team in turn, by round-robin on Growth and Enterprise, or wait in the shared queue until a person hands it to a rep. For a small team that assigns by hand, see the routine further down.

Roles keep each screen to the right work: an Agent sees only chats assigned to them, a Team leader sees their team's, Admins and Managers see everything, and a Viewer only reads.

A number can be open to everyone or limited to named teams, and access to it is granted at see or operate level; operate means reply, send and assign. If two people open the same chat, a live typing indicator shows that someone is already answering.

When a rep leaves, their chats stay in the inbox with their notes and labels, and a manager hands each open lead on. Keep sales numbers on SIMs the company owns. See how to assign WhatsApp chats to your reps and WhatsApp lead management.

How fast should a sales team reply to a WhatsApp lead?

While the buyer is still thinking about what they asked. The question is fresh, they may have asked three other sellers too, and the first useful reply often sets the terms: whose price becomes the benchmark, whose brochure gets opened.

An enquiry left until evening has had an afternoon to go elsewhere. Speed comes from the setup more than from effort:

  • One queue, not ten phones, so a new chat isn't stuck on the phone of a rep who is out on a site visit.
  • Named cover for lunch, evenings and weekends, when leads are most likely to wait.
  • A saved first reply that thanks the buyer and asks one useful question, adjusted by the rep before it goes.
  • For the questions that come every day, a team set to automatic answers or AI drafts, on Growth and Enterprise.
  • Assignment before the long answer, so the next message comes from the lead's owner.
  • The unread and shared-queue filters, checked on a schedule.

How should a team label and track WhatsApp leads?

With a few labels everyone agrees on. In WavesFlo labels are set by a person and anyone can filter by them, so one shared set beats twenty personal ones. A starting set:

  • Source: IndiaMART, Portal, Ad, Website, Referral.
  • Stage: New, Quote sent, Visit booked, Negotiating, Won, Lost.
  • Next action: Call back, Waiting on buyer, Payment due.

Notes carry what a label can't: quantity, budget, who decides, the quote number and the follow-up date you promised. Labels are tags, not a pipeline: stages, values and forecasts belong in your CRM or sheet, where the CRM integration or webhooks below log the conversation. WhatsApp Business labels covers labels in the app too.

What should reps send first, and how do they follow up?

The first reply thanks the buyer, answers the question if it can, and asks one thing that moves the sale on: quantity, budget, a time to call. Follow-ups come on a rhythm the buyer can expect, and stop when they say no.

Quick replies keep the wording consistent. In WavesFlo they're saved once for the whole workspace and recalled with a slash and a shortcut: /intro for the first reply, /visit for site-visit slots, /quote for what a quotation covers, /pay for bank and UPI details. A rep still edits and sends each one.

Replies can carry photos, PDFs, video, voice notes, a location pin or a contact card, up to 16 MB per attachment. For the words themselves:

Follow up with restraint. WhatsApp told TechCrunch in October 2025 that it was testing a monthly limit on messages to people who don't reply, without publishing the number, and a buyer who never answers is exactly who it counts. See the limit on messages to people who don't reply.

Where do sales leads come from, and how do you catch them?

Either the buyer writes first, or the enquiry reaches you somewhere else and you write first. That decides the first message.

As of October 2026, Meta's ads that click to WhatsApp can use a WhatsApp Business app number connected to your Facebook Page or business portfolio, and the buyer who taps the ad starts the chat.

When you write first, say who you are in the first line, and stay well inside the limit WhatsApp is testing on messages to people who haven't replied. The chat can be started from the inbox, or on a phone without saving the number.

How do WhatsApp leads get into your CRM or Google Sheet?

If you use HubSpot or Zoho CRM, connect it from WavesFlo's dashboard by signing in to the CRM. Nothing is sent until a workspace admin switches syncing on.

Incoming one-to-one messages, outgoing one-to-one messages and opt-outs or opt-ins each have their own switch, and each is logged as a note on the matching CRM contact, found by phone number; if the connection is allowed to, WavesFlo creates the contact when there isn't one. Group, status and channel messages never reach the CRM, and media isn't copied across.

It works the other way too: CRM contacts with an international phone number can be imported into WavesFlo's audience, on demand or every six hours, without duplicating anyone. An import never marks anyone as having agreed to WhatsApp messages: being in a CRM isn't consent, so imported people start with unknown consent and the sending rules treat them that way.

For whoever sets up your CRM: any other CRM, a sheet or your own system, through the REST API and signed webhooks.

For any other CRM, a sheet or your own system, use the REST API and signed webhooks. WavesFlo isn't a CRM and doesn't try to be.

Every message received or sent on a connected number fires a signed event, message.received or message.sent, carrying the ID of the number it happened on. Delivery is at least once, with a stable event ID to deduplicate on, and order isn't guaranteed. A typical n8n workflow:

  1. Start with an n8n Webhook node that receives WavesFlo's signed message.received event.
  2. Skip events already handled, by event ID, so a repeated delivery can't create a second lead.
  3. Look the buyer up by phone number.
  4. Create or update the record. n8n's own nodes do this for a Salesforce lead or a Google Sheets row, among others.
  5. Add the message text, so whoever opens the record sees the latest.

In Power Automate, a flow that receives the webhook can add a row to an Excel table instead, as the Power Automate guide shows. IndiaMART's CRM API, offered to paid sellers, can feed the same sheet through n8n. Stages, deal values and scoring stay in the CRM.

Step by step: WhatsApp to Google Sheets, Zoho CRM WhatsApp integration, HubSpot WhatsApp integration, Salesforce WhatsApp integration and WhatsApp messages to Excel. The developer reference lists every event, and webhooks with n8n covers signatures and retries.

How do you follow up with many leads at once without spamming?

Some follow-ups are one-to-many: every buyer who got a quotation last week, every invoice due on the 5th. A WavesFlo campaign writes one personalised message per row of a Google Sheet or CSV, with each buyer's name, quote number or amount due.

It can be scheduled for working hours, kept out of quiet hours and held for a manager's approval, and the opt-out register is checked at send time. Results come from delivery receipts, with read counted as a floor because people can turn read receipts off. Replies land in the shared inbox.

A large list goes to about 5% first, and the campaign pauses itself if more than 20% of those sends fail or more than 2% of those people reply STOP. Approval requests and campaign results can arrive in Slack or Microsoft Teams.

Volume doesn't change the rules: message people who asked to hear from you, keep it relevant, and stop when they say stop. Inbox replies pass the opt-out register, the emergency pause and the number's daily ceiling too. See Google Sheets to WhatsApp and sending limits and opt-outs.

How do real estate, admissions, B2B and distribution teams use a shared WhatsApp inbox?

  • Real estate: a number per project or broker, all in one list. A portal enquiry gets site-visit slots, the visit gets a location pin and the brochure PDF, and the follow-up comes from whoever showed the flat. See real estate follow-up messages and, for groups, WhatsApp marketing for real estate.
  • Admissions and coaching: in admission season, a manager hands each enquiry to the counsellor for that course, who notes the student's class and preferred batch. See WhatsApp for coaching institutes.
  • Manufacturers and B2B suppliers: IndiaMART enquiries go to the rep for that product line, who sends the GST quotation as a PDF, notes its validity and follows up before it lapses. See IndiaMART leads on WhatsApp and quotation follow-up messages.
  • Dealers and distributors: month-end reminders go out as one personalised message per invoice row, approved before sending, and a manager hands each reply to the account's rep. See payment reminder messages.

How does a small team assign leads by hand?

Agree who assigns and by what rule, and keep to it. A routine for a team of five:

  1. Put one manager on queue duty at a time, by shift. Admins and Managers see every conversation, including the shared queue.
  2. They hand each new lead to one rep by a rule everyone knows: the number it came in on, the product, the city or the buyer's language.
  3. The rep replies, labels the lead's source and stage, and adds an internal note: what the buyer wants, the budget, the next step and its date. Notes are never sent to the customer.
  4. If the lead needs someone else, such as a senior for a big order or a colleague in another city, a team leader or manager hands the chat on, and the notes go with it.

What does a shared WhatsApp inbox cost a sales team?

As of October 2026, the shared inbox is on WavesFlo's Growth plan and above: ₹2,999 per session per month, with one team member and one connected number included, ₹499 a month for each additional team member and ₹999 a month for each additional number, up to 250 on Growth, subject to plan.

Enterprise is quoted and billed annually, and messages aren't metered. The Developer plan, at ₹1,999 per session per month, has the REST API and signed webhooks but no inbox. See pricing, or book a demo on your own numbers.

Questions sales teams ask

Can several sales reps answer leads from one WhatsApp number?

Yes. In WavesFlo the number is linked once and every rep with access answers from the shared inbox under their own login, with a live typing indicator to stop double replies. The free WhatsApp Business app allows the phone plus four linked devices, as of October 2026, without chat assignment.

Can a sales rep see only their own leads?

Yes. In WavesFlo, a rep with the Agent role sees only the conversations assigned to them. A Team leader sees their own and their team's, Admins and Managers see everything, and a Viewer can read but not reply. Each number can also be limited to named teams or people.

Does WavesFlo reply to leads automatically?

It can, team by team, on Growth and Enterprise. Each team is set to automatic answers, where keyword replies, a chatbot and AI replies answer on their own; AI drafts that a rep checks and sends; or off. AI credits are included; more on request. New leads can also go to each rep in a team in turn, by round-robin.

Can WhatsApp leads go into HubSpot, Zoho or Google Sheets?

Yes. HubSpot and Zoho CRM connect to WavesFlo natively: once an admin switches syncing on, incoming and outgoing one-to-one messages and opt-outs or opt-ins can each be logged as notes on the matching contact; group messages never are. CRM contacts can be imported into WavesFlo, arriving with consent unknown. For Salesforce, Google Sheets or Excel, n8n or Power Automate connect through the REST API and signed webhooks. WavesFlo isn't a CRM; stages and deal values stay in yours.

Do we keep our existing WhatsApp numbers?

Yes. WavesFlo links each number by scanning a QR code from WhatsApp's Linked devices screen, like WhatsApp Web, and the phone keeps working. As of October 2026, the link takes one of the four linked-device places WhatsApp gives an account, and the phone must be opened at least once every 14 days or its linked devices log out. Inbox threads start when the number is linked.

What does WavesFlo cost for a sales team?

As of October 2026, the shared inbox is on the Growth plan and above: ₹2,999 per session per month, where a session is one login with one team member and one connected number included, plus ₹499 a month for each additional team member and ₹999 a month for each additional number. Enterprise is quoted and billed annually. Messages aren't metered. See pricing for how sessions apply to a team.

What WavesFlo does not do

Some of these are WhatsApp’s rules and some are how the inbox works.

  • by design

AI replies run per team, on Growth and Enterprise

Each team is set to automatic answers, where keyword replies, a chatbot and AI replies answer on their own; AI drafts, which a rep checks and sends; or off. AI credits are included on those plans; more on request.

  • by design

    It isn’t a CRM

No pipeline stages, deal values, forecasts or lead scoring. Labels are tags a person sets; the pipeline lives in your CRM or sheet. The HubSpot and Zoho CRM integration logs one-to-one messages and opt-outs or opt-ins there as notes on the contact, and never updates deals or stages; webhooks can feed any other system.

  • by design

Its memory starts at the link

Threads begin when a number is linked, so older history stays on the phone. Search covers a chat's name, number and latest message, not every word ever sent.

  • whatsapp’s rule

Restricted chats stay on the phone

WhatsApp's Restricted chat setting, available on the latest app version as of October 2026, stops anyone in a chat using linked devices for it. A group's admins, or either person in a one-to-one chat, can turn it on. WavesFlo links each number as a linked device, so those chats don't reach the inbox or campaigns.

Hand every lead to one rep.
