WhatsApp for coaching institutes works when every batch has its own announcement-only group, parents and students sit in separate groups, and anything about one child goes one-to-one. Turn off Send new messages in Group permissions so only admins post, and use a community per centre when one notice has to reach up to 2,000 people.
This is for institute owners, centre managers and tutors, whether you run three batches or three hundred; everything except the section on India's Digital Personal Data Protection Act applies wherever you teach. It covers the group structure, the settings, ready-to-copy notices, what never goes in a group, students' data, reminders, and how to tell which batches are actually reading.
How should a coaching institute set up WhatsApp groups?
Build it in three layers. A WhatsApp community per centre carries centre-wide notices; inside it, each batch gets a student group and a parent group; and marks, fees and attendance go to one parent at a time.
| Channel | Who sees it | Use it for |
|---|---|---|
| Community announcements | Everyone in the centre's community, up to 2,000 members | Holidays, the fee calendar, centre-wide timing changes |
| Batch student group | Students of one batch | Timetable changes, test schedules, study material |
| Batch parent group | Parents of one batch | Test dates, parent-teacher meetings, holidays |
| One-to-one chat | One parent | Marks and rank, fee dues, attendance, conduct |
Parents and students need different messages at different times, and there is a harder reason to separate them. In an ordinary group every member can see every other member's phone number; WhatsApp's help centre says numbers can't be hidden in a group. A mixed group puts students' numbers, many of them minors', in front of every adult in it. In a community's announcement group, a member's number is visible only to community admins and to people who already have it.
- A community holds up to 100 groups plus its announcement group. Only admins post announcements; members can reply and react, and admins can delete replies but can't switch them off.
- When you add a batch group to the community, you can set it to Visible or Hidden, so a parent browsing the community doesn't see every other batch's group.
- Each group holds up to 1,024 members. A batch that outgrows that needs a second group.
- As of October 2026 a community can't be created on the WhatsApp Business app. Create it from a standard WhatsApp account; a Business account can still take part in communities it belongs to.
The differences between the options are laid out in community vs group vs channel.
How to make a batch group announcement-only
- Open the batch group and tap the group name.
- Tap Group permissions.
- Turn off Send new messages. From now on only admins can post.
- Turn off Edit group settings, so only admins can change the name, icon and description, or pin messages.
- Turn off Add other members and Invite via group link or QR code, and turn on Approve new members, so nobody arrives without an admin letting them in.
The steps are the same on Android and iPhone, and groups of more than 256 members start with Edit group settings limited to admins. Every other control is covered in the group admin settings guide.
What to post, and when
Batch groups stay read when they carry only what changes a student's week. Keep a fixed rhythm so parents know when to look:
- Sunday evening: next week's timetable, pinned for seven days.
- Two days before a test, and again early on the day: syllabus, time, room.
- At least a week before a holiday: the dates, and when classes resume.
- As soon as you know: cancellations and room changes.
Pins last 24 hours, 7 days or 30 days. As of October 2026, WhatsApp's help centre allows up to four pinned messages per chat, though some app versions still stop at three. People who join after you pin a message don't see it, so keep standing information such as centre timings and rules in the group description, which takes up to 2,048 characters. The group rules guide has wording you can adapt.

A batch group is a room with every parent or every student in it. Anything about one child exposes that child to all the others, and anything personal is seen by people with no reason to see it.
- Individual marks and ranks. Send each parent their own child's result; post only the schedule in the group.
- Fee dues. A reminder in a group names and shames; send it to the parent concerned.
- Students' phone numbers, in any group adults can see.
- Photos and videos of students, unless their parents have agreed in writing.
- Attendance and conduct problems.
One-to-one messages go from the institute's number, only to the parent who gave that number for exactly this purpose:
Dear Mrs Sharma, Aarav's Unit test 3 result (JEE 2027, Batch A):
Physics 62/100 · Chemistry 71/100 · Maths 58/100 · Total 191/300
His mentor, Mr Iyer, can take a 10-minute call on Saturday between 11 am and 1 pm if you would like to discuss it. Reply with a time that suits you.Students' data and India's DPDP Act
The Digital Personal Data Protection Act, 2023 treats anyone under 18 as a child. Section 9 requires an organisation to obtain verifiable consent from a parent or lawful guardian before processing a child's personal data, bars processing likely to harm a child's well-being, and bars tracking, behavioural monitoring and targeted advertising directed at children. Penalties for breaching these obligations go up to ₹200 crore.
The DPDP Rules were notified on 13 November 2025. Section 9 and Rule 10, which sets out how parental consent is verified, come into force 18 months after that, around 13 May 2027; as of October 2026 that date stands, but check for changes. Rule 10 asks the organisation to check that the person consenting is an identifiable adult, using identity and age details it already holds, details the parent provides, or a virtual token such as one from a digital locker service.
The Rules exempt educational institutions only narrowly, for tracking and behavioural monitoring in the interests of their educational activities or children's safety, and they define such an institution simply as one "that imparts education, including vocational education". The practical course is to collect consent now, in the admission form:
WhatsApp communication
I agree that [Institute name] may add my number, and my child's number only if I tick here [ ], to WhatsApp groups for my child's batch, for timetables, tests and notices.
Marks, fees and attendance will be sent only to my number, one-to-one.
I can withdraw this consent at any time by telling the centre office, and numbers are removed from all groups when the course ends.
Parent or guardian name, signature and date: ______Two more rules follow. WhatsApp's own terms require users to be at least 13 (or older where a country requires it), so for students under 13, message their parents instead. And don't use students' numbers to promote other courses to them; the Act bars targeted advertising directed at children. This is a summary, not legal advice.
Can WhatsApp schedule class reminders?
Not for ordinary messages, as of October 2026. WABetaInfo has reported since June 2026 that WhatsApp is testing scheduled messages for chats and groups, to be set from 10 minutes to two weeks ahead, but the feature hasn't been released. The scheduling guide tracks the current state. What exists today:
- Events: post a test or a parent-teacher meeting as an event in the group. Since January 2026 you can set custom early reminders for invitees.
- Business broadcasts on the WhatsApp Business app can be scheduled, but they are charged per delivered message, go to individual contacts rather than groups, and are available only in some countries.
- A scheduling tool that posts from a number that is a member of your batch groups.
WavesFlo is the third kind: a campaign scheduled for Sunday evening posts the week's timetable into every batch group your connected number belongs to, and a recurring schedule can repeat a standing notice, with a randomised pause between posts and nothing sent in quiet hours (22:00 to 08:00 by default). It posts into groups, not into community announcements, and reports delivery and read rates for each group.
How to see which batches read your notices
Tap and hold your message in the group, then tap Info: WhatsApp lists who has read it. Read receipts are always sent in group chats, even by people who have turned them off for individual chats, so the list is close to complete; someone who reads the notification without opening the chat still won't appear. The guide to who read a group message explains the ticks.
Editing a message, which WhatsApp allows for 15 minutes after sending, resets its read receipts, so after correcting a notice you can see who has seen the corrected version. Across many batches, compare the share of each group that has read a notice within a day. A parent group where most people never open the chat needs a phone call from the coordinator, not another message.
Admissions enquiries are sales leads: WhatsApp for sales teams covers giving every enquiry an owner and following up on time.
Questions
Should students and parents be in the same WhatsApp group?
No. They need different messages, and in an ordinary WhatsApp group every member can see every other member's phone number, which puts students' numbers in front of every parent in the group.
How do I stop students from messaging in a batch group?
Open the group, tap the group name, tap Group permissions and turn off Send new messages. Only admins can then post, and the steps are the same on Android and iPhone.
Can a coaching institute create a WhatsApp community on the Business app?
Not as of October 2026: WhatsApp's help centre says communities can't be created on the WhatsApp Business app. Create the community from a standard WhatsApp account; a Business account can still take part in communities it belongs to.
Do we need parents' consent to add students to WhatsApp groups?
Under India's DPDP Act, processing the personal data of anyone under 18 needs verifiable consent from a parent or guardian, and that duty and the Rule on verifying it take effect around 13 May 2027. Collecting written consent in the admission form now is the safe course.
How many students can one WhatsApp group hold?
Up to 1,024 members, as of October 2026. A community can link up to 100 groups plus an announcement group, with up to 2,000 members in total.
