A team can run several WhatsApp numbers four ways, two of them with a variant: a phone per number, or two accounts on one; each number's WhatsApp Business app with up to four linked devices, or up to 10 with paid multi-agent; a platform on Meta's Cloud API; or one shared inbox linking every number. The shared inbox shows every number's chats in one list, each person seeing only what they should.
This guide is about a team and many numbers: a sales line, a service desk, a number for each store, branch or region. If you are one person juggling two or three numbers, multiple WhatsApp accounts on one phone or PC is the better read. Everything here is as of October 2026.
Why do teams end up with several WhatsApp numbers?
Rarely by plan. A business starts with one number, then adds:
- A support number, so service questions stop burying sales enquiries.
- A number per branch or city, printed on local hoardings, invoices and delivery slips.
- A company SIM for each salesperson, so customers can reach their own contact.
- A number per project, brand or campaign, so each ad or listing points somewhere specific.
Each makes sense on its own. Together they scatter the business across phones: a manager can't see what was promised, a customer who writes to the wrong number waits, and when a rep leaves, the conversations they held can go with their phone.
Can one person run two WhatsApp numbers on one phone?
Yes, in WhatsApp itself. Its multiple accounts feature holds two accounts on one phone, each registered with its own number, and you switch between them in the app; a second account can only be added on the main phone. WhatsApp's help centre says account switching isn't currently available in the WhatsApp Business app. It is a fix for one person, not a team, and the multiple accounts guide covers it, along with browser profiles for WhatsApp Web.
How many people can work one WhatsApp Business number?
Up to five at once on the free app: the phone that registered the number plus four linked devices, such as WhatsApp Web, the desktop app or a second phone. WhatsApp's paid multi-agent feature, part of Meta Verified for Business and Meta One business plans, raises that to as many as 10 devices, depending on the plan, and adds chat assignment and a record of which agent sent each message. Customers see the business, never the agent. The rules that come with it:
- Linked devices work while the phone is offline, but all of them log out if the phone goes unused for more than 14 days.
- A linked device left unused for 30 days is disconnected.
- With more than four devices linked, calls ring only on the main phone, and multi-agent doesn't support tablets.
- If a multi-agent subscription ends, only the four most recently active devices stay linked.
WhatsApp Business with multiple users walks through each of these for a single number.
What changes when there are several numbers?
Every rule above applies per number. Each number has its own phone, its own four linked-device places and its own chat list, and multi-agent comes with each account's own subscription. A support agent covering three numbers needs three WhatsApp Web sessions in three browser profiles, and has to check each one. Nothing in the app shows the three lists together, and every device linked to a number sees the same chats: WhatsApp describes no setting that gives one linked device a different set of chats from another.
How does one shared inbox for several numbers work?
A shared inbox links each number once and lets the team work all of them under their own logins. In WavesFlo:
- Link each number by scanning a QR code from WhatsApp's Linked devices screen on its phone, as you would for WhatsApp Web. The phone keeps working, and the link uses one of that number's four linked-device places.
- Direct chats and groups from every linked number land in one list, each marked with the number it arrived on, and a reply goes out on that same number.
- Decide who reaches each number: the whole workspace, or named teams and people.
- Invite the team in a role, by sharing each invitation link yourself; a link works once and expires in seven days. Admins and Managers see everything; a Team leader sees their own and their team's conversations and can hand one on; an Agent sees only the conversations assigned to them; a Viewer reads without replying.
- Work the list with filters for number, unread, assigned to you, the shared queue, label and chat type, and search by name, number or latest message.
A conversation can be handed to a teammate or left in the shared queue, and a colleague typing in the same chat shows live, so two people don't answer one customer. Chats can be assigned by hand, or round-robin within a team on Growth and Enterprise, and how to assign WhatsApp chats suggests a routine.
Every option compared
| Option | Numbers in one view | People per number | Who sees what | Where it stops |
|---|---|---|---|---|
| A phone per number | No | Whoever holds the phone | Everything on that phone | No shared view, and the chats stay with the handset |
| Two accounts in the WhatsApp app | Two, one at a time | One person | Everything, on that phone | Not available in the WhatsApp Business app |
| WhatsApp Business app with linked devices | No, one number per account | The phone plus 4 linked devices | Every linked device sees the same chats | Set-up repeats for each number; phone opened every 14 days |
| Multi-agent (Meta Verified or Meta One) | No, one number per account | Up to 10 devices, by plan | Chats can be assigned, but every device still sees the list | Paid per account, and not offered to every business |
| A platform on Meta's Cloud API | Set by the platform | Set by the platform | Set by the platform | Outside 24 hours from the customer's last message, only pre-registered messages; Meta charges per message, and since 1 October 2026 also for replies past 1,000 a month per number |
| A shared inbox linked like WhatsApp Web | Yes, every linked number | Everyone given access | Roles plus per-number access | Each number still needs its phone, and history starts when it's linked |
A worked example: stores, regions and a service desk
Take a retailer with a number for each store, a sales number for each region and one service desk. Linked to one inbox, it could be set up like this:
- Each store's number: restricted to that store's team. Its team leader watches the shared queue, and with round-robin switched on, new chats go to each person in the team in turn.
- Each region's sales number: open to that region's sales team, so quotes and bulk orders stay with the people who price them.
- The service desk: restricted to the service team, so repairs and complaints stay with the people who handle them, with View access for a quality team that reads but doesn't reply.
- Head-office leads as Managers, seeing every number; an accounts person as a Viewer, who can read payment conversations but not reply.
| Team or person | Level |
|---|---|
| North sales | Operate |
| Meera Pillai | Operate |
| Service team | View |
Operate: see its chats and act as it, to reply, send and assign. View: see its chats only.
Labels set by hand, such as new enquiry, visit booked or payment pending, then work across every number, and quick replies are saved once for the whole workspace and recalled with a slash.
What a shared inbox doesn't change
- Each number still lives on a phone, which must open WhatsApp at least every 14 days; the linked devices limits apply as usual.
- History starts at linking. WhatsApp doesn't hand over earlier chats, so threads begin when the number is connected.
- Chats with Restricted chat turned on stay on the phone. On the latest version of WhatsApp, a group's admins, or either person in a one-to-one chat, can turn it on, and nobody in that chat can then use linked devices for it, so it doesn't reach the inbox.
- Each number keeps its own daily and hourly ceilings and a health score, and every reply still passes the opt-out register and that number's daily ceiling.
- Search covers a chat's name, number and latest message, not every word ever sent.
The shared inbox is on the Growth plan and above. As of October 2026, Growth costs ₹2,999 per session per month, with one team member and one number included, ₹499 a month for each additional team member and ₹999 a month for each additional number. A workspace can hold up to 250 connected numbers on Growth and up to 50,000 on Enterprise, subject to plan. Round-robin assignment, the chatbot and AI replies are on Growth and Enterprise, with AI credits included and more on request. See pricing for every tier, the inbox page for the full model, and WhatsApp for sales teams for how sales teams use it.
Questions
Can I manage multiple WhatsApp numbers in one app?
Up to two in WhatsApp itself, which holds two accounts on one phone and switches between them. As of October 2026, the WhatsApp Business app can't switch accounts. For a team with more numbers, a shared inbox puts every linked number's chats in one list.
Can several people share several WhatsApp Business numbers?
Yes. Each number can be used on its phone plus four linked devices, or up to 10 devices with paid multi-agent, but each number is managed separately. A shared inbox lets everyone work all the numbers under their own login, with access set per number.
Can each store or team see only its own number's chats?
In WavesFlo, yes: a number can be restricted to named teams or people, and an Agent sees only the conversations assigned to them, while Admins and Managers see every number. The WhatsApp Business app describes no setting that gives each linked device its own set of chats.
Do customers see which person replied?
No. With WhatsApp's multi-agent, customers can't see which agent or device sent a message. In a shared inbox, the reply comes from the number the customer wrote to.
Will old chats appear when I connect a number to a shared inbox?
No. WhatsApp doesn't hand over chats from before a number is linked, so in WavesFlo each thread starts when its number is connected. Earlier history stays on the phone.
Does linking a number to a shared inbox stop it working on the phone?
No. The number is linked from WhatsApp's Linked devices screen, like WhatsApp Web, and the phone carries on as before. Open WhatsApp on the phone at least every 14 days, or WhatsApp logs its linked devices out.
