You can assign chats in the WhatsApp Business app only with multi-agent, a paid feature of Meta Verified and Meta One business plans: on Android, press and hold a chat, then More options → Assign chat. A shared inbox goes further: every conversation, on every number, gets one owner, handed on by a person or given out in turn within a team, and roles decide who can see it.

Below: the app's steps and limits as of October 2026, how assignment and roles work in a shared inbox such as WavesFlo, clean handovers, and a daily routine for each team.

Can you assign chats in the WhatsApp Business app?

Only with multi-agent. WhatsApp's help centre describes it as a premium feature included with a Meta Verified for Business subscription or a Meta One business plan, and warns that it may not be available to you yet. Without it, the app links the phone plus up to four devices and has no assignment. With it, you can link up to 10 devices, depending on the plan, assign chats to agents, and see which agent or device sent each message.

  1. On Android, in the Chats tab, press and hold the chat and tap any others to assign with it. Tap More options (three dots) → Assign chat, choose yourself or another agent, and tap Save.
  2. On iPhone, open the chat, tap the contact's name, then Assign chat. Choose yourself or another agent and tap Back.
  3. To see your own chats on Android, tap Search in the Chats tab and filter by Assigned to you.
  4. To check who replied, press and hold a message and tap Info. It shows the agent and the device that sent it.
Checked against WhatsApp's help centre on 5 October 2026. Meta Verified's Business Standard, Plus, Premium and Max plans link up to four, six, eight and 10 devices. Meta decides which plans a business is offered from its activity on WhatsApp, and Meta One is still in limited testing.

Four catches before you pay:

  • It covers one number. Each WhatsApp number is its own account, with its own devices and its own subscription.
  • Assignment records who owns a chat; it doesn't hide the chat. WhatsApp describes no setting that limits an agent's device to their own chats.
  • With more than four devices linked, calls ring only on the primary phone, and multi-agent doesn't support tablets.
  • If the subscription lapses or its benefits change, only the four most recently active devices stay linked.

Customers can't see which agent or device sent a message, or who their chat is assigned to. If you want buyers to know who they are dealing with, ask reps to sign off with their first name. WhatsApp Business with multiple users compares every way to put a team on one number.

How does chat assignment work in a shared inbox?

A shared inbox puts every linked number's chats in one list and gives each one an owner. In WavesFlo, a new enquiry waits in the shared queue until an admin or manager hands it to a rep, or, with round-robin switched on for a team on Growth and Enterprise, goes to each person in that team in turn. What makes that workable for a sales team:

  • Each row shows the number the chat arrived on, and the reply goes out on that number, so a lead who wrote to the Pune project number hears back from it.
  • The Assigned to you filter is each rep's worklist; the shared queue filter is the manager's list of leads nobody owns yet.
  • Labels and internal notes stay on the conversation, so whoever holds it next sees the context.
  • Each number is linked from WhatsApp's Linked devices screen, using one of its four linked-device places, and the phone keeps working; see the linked devices limit guide.

Who should see which leads?

Decide this before inviting the team. WavesFlo narrows what each person sees twice, and both apply at once: by role, and by which numbers they may reach.

Who sees which leads in WavesFlo, by role
RoleSeesCan hand a lead onUsually given to
AdminEvery conversation, including the shared queueYes, any conversationThe owner or head of sales
ManagerEvery conversation, including the shared queueYes, any conversationWhoever hands out new enquiries
Team leaderTheir own and their team's conversationsYes, within their teamA branch, city or product lead
AgentOnly conversations assigned to themNoA sales rep
ViewerEvery conversation, read-onlyNoSomeone who reviews chats but never replies

Numbers narrow it further. A number can be open to the whole workspace or restricted to named teams or people, so the Hyderabad branch's number stays with the Hyderabad team. And because unassigned leads are visible to admins and managers, not to reps or team leaders, someone in one of those two roles has to own the shared queue.

How do you hand a lead to another rep without losing context?

  1. The current owner adds an internal note: what the buyer wants, what was quoted and when, and what was promised. Notes stay with the team and are never sent to the customer.
  2. Update the label so the stage shows at a glance, for example from Quote sent to Negotiating.
  3. An admin or manager, or the team leader within their own team, reassigns the conversation.
  4. The new rep reads the note and the last few messages, then introduces themselves. The buyer still sees the same business number, so a one-line hello avoids confusion.

When a rep goes on leave, a manager does the same for each of their open conversations, so no buyer waits a week for someone who isn't there.

How do you stop two reps answering the same lead?

Ownership prevents most double replies; the rest happen before anyone owns a chat, or when a manager steps in. In WavesFlo, a colleague typing in the same thread shows live, so the second person sees it and holds back. Agree one rule: the assigned rep replies, and anyone else with something to add writes an internal note instead. In the WhatsApp Business app, multi-agent's Info screen shows which agent sent a message, but only after it has gone.

Manual or automatic assignment: which does a sales team need?

Taking turns suits a steady flow of similar enquiries, such as a store's questions about stock, prices and timings: each new chat goes to the next person in the team, so nobody hoards leads and nobody is skipped. Assignment by hand suits enquiries that need a particular person. A lead from Kochi may want a Malayalam speaker, a distributor wants the rep who handled their last order, and a parent asking about Class 11 fees needs the admissions counsellor, not the general office. A person reading the first message makes that call better than a rule does.

WavesFlo does both. On Growth and Enterprise, round-robin can be switched on for a team, so new chats go to each person in it in turn, and any chat can still be handed on by hand with its notes. Where round-robin is off, unassigned leads wait in the shared queue until someone hands them out, which is why the routine below matters.

A daily assignment routine for each team

Say one manager and four reps share two numbers, a main sales number and a project number:

  1. 9:30 am IST: the manager opens the shared queue, reads each new enquiry, hands it to a rep by city, language or product, and adds a source label such as IndiaMART or Website.
  2. Through the day: each rep works from Assigned to you, answers with saved quick replies where they fit, and writes every promise into an internal note.
  3. 1:30 pm: the manager clears the shared queue again, so a morning enquiry never waits until tomorrow.
  4. 5:30 pm: each rep checks unread chats and their Follow-up due label, and the manager reassigns anything belonging to someone who is out the next day.
  5. Friday: the team checks the labels for anything stuck, marks chats Won or Lost, and confirms every new lead reached the CRM or sheet.

That routine is the heart of managing WhatsApp leads as a team, and running WhatsApp sales as a team covers the rest. The shared inbox is on the Growth plan and above; the inbox page shows the roles and filters in detail.

Questions

Can two people use the same WhatsApp Business number at once?

Yes. As of October 2026 the WhatsApp Business app runs on the phone plus up to four linked devices, so up to five people can reply from one number at the same time. With multi-agent, a paid feature of Meta Verified and Meta One business plans, up to 10 devices can be linked, depending on the plan.

Can a salesperson see other reps' chats?

In the WhatsApp Business app, yes: WhatsApp describes no setting that hides other chats from an agent's device, even with multi-agent assignment. In WavesFlo, an Agent sees only the conversations assigned to them, a Team leader sees their own and their team's, and Admins and Managers see everything.

Does WavesFlo assign chats automatically?

It can. On Growth and Enterprise, round-robin gives each new chat to the next person in a team. Otherwise a person hands each conversation to a teammate or leaves it in the shared queue, so an admin or manager should check the queue at set times through the day.

What happens to a lead nobody picks up?

In WavesFlo, unless round-robin is on for the team, it stays in the shared queue, unassigned, where admins and managers can see it, until someone hands it to a rep. Agents and team leaders don't see unassigned leads, so give the queue a named owner who checks it several times a day.

Can customers see which agent replied on WhatsApp Business?

No. WhatsApp's help centre says customers can't see which agent or device sent a message, or who their chat is assigned to. Inside the team, multi-agent shows the sending agent on a message's Info screen. Reps who want buyers to know them can sign off with their name.
