WhatsApp Business labels are coloured tags you put on chats so you can find them again, such as New customer or Payment pending. You can create up to 20. As of October 2026, WhatsApp is gradually turning labels into lists, which is why labels may have disappeared from your app: look under Tools → Lists instead.
Below: how labels work, how to add them on Android and iPhone, what changed with lists, the limits, a label set built for sales leads, and where labels stop being enough for a team.
What are WhatsApp Business labels?
Labels are a WhatsApp Business app tool for sorting conversations. WhatsApp describes them as a way to organise and filter customer chats so you can quickly find the ones that need attention. Each label has a name and a colour, one chat can carry several, and opening a label shows every chat that carries it. Tapping a customer's profile photo or a group's icon on the Chats screen shows that chat's labels, so groups can be labelled too.
On Android, a label is also an audience: Message customers, in a label's menu, sends one broadcast to everyone with that label. It reaches individual customers only, never groups, even when a group carries the label. WhatsApp's help centre ties this to marketing messages, now business broadcasts in some countries, which are charged per delivered message where offered, as of October 2026.
How do you add a label on Android and iPhone?
Which steps apply depends on whether your app has switched to lists yet. Where labels are still there, WhatsApp's help centre gives these routes:
| Task | Android | iPhone |
|---|---|---|
| Create a label | Chats → More options (three dots) → Label chat. Enter a name, tap the tick, then Save | Tools → Lists → New list. Enter the label name and tap Done |
| Label a chat | Press and hold the chat, tap the label icon, pick labels, then Save | Press and hold the chat, tap Add to list, then pick labels |
| Find labelled chats | Chats → More options → Label chat, then tap a label | Tools → Lists, then tap a label |
| Edit, recolour or delete | Chats → More options → Labels, tap the label, then More options | Tools → Lists, tap the label, then Edit, or Delete list |
On WhatsApp Web with a Business account the pattern is the same: Tools → Lists to create one, and Add to list from a chat's menu to apply it, so labelling doesn't need the phone in hand.
Why are my WhatsApp Business labels missing?
Most likely because your app has moved to lists. WhatsApp's help centre now opens its labels article with a note: labels are now lists, lists are rolling out gradually, and labels might not be available to you. In an updated app, open Tools → Lists. A list does what a label did, and a little more:
- Create one from Tools → Lists → New list: type a name or pick a suggestion, choose a colour, then add people or groups.
- Add a chat by pressing and holding it, then tapping Add to list (on Android, the list icon).
- Rename, recolour, reorder, add or remove people, or delete, all from Tools → Lists.
- Start from WhatsApp's default or recommended lists instead of building every one yourself.
- The cap is unchanged at 20.
Check Tools → Lists before recreating labels by hand: on an updated app, that is where chats are grouped now. One other cause is worth ruling out. Labels belong to the WhatsApp Business app, so they were never in regular WhatsApp, which has its own lists: filters such as Unread, Favourites and Groups in the Chats tab. And if lists appear that nobody created, someone may have turned on automatic events, which makes WhatsApp label orders and leads by itself.
Read WhatsApp's notes before turning automatic events on. It may limit broadcast lists, disappearing messages, greeting and away messages, and editing or deleting messages. Chats are then managed through Meta's secure service, and customers see a line in the chat saying so. It also disconnects every linked device, including any shared inbox connected through Linked devices; most devices can be linked again afterwards, but not WhatsApp for Windows or Wear OS.
How many labels can WhatsApp Business have?
Up to 20 labels, and the same 20 for lists, as of October 2026. A chat can carry more than one: on Android several labels appear stacked, on iPhone side by side. Each WhatsApp number is a separate account, so each has its own 20.
Twenty goes quickly if you label by source, stage, product and city at once. Decide what labels are for before creating any. For a sales team, two questions are enough: where did this lead come from, and what happens next?
A label set for sales leads
Twelve labels cover most sales teams and leave room under the cap for a few product lines:
| Label | Type | Apply it when |
|---|---|---|
| IndiaMART | Source | The first message came from an IndiaMART enquiry |
| Website | Source | They used the WhatsApp link or button on your site |
| Ads | Source | They came from a Click-to-WhatsApp or other ad |
| Referral | Source | A customer, broker or partner sent them |
| Walk-in | Source | They visited the shop, site office or stall first |
| New | Next step | Nobody has replied yet |
| Contacted | Next step | You've replied and asked what they need |
| Quote sent | Next step | A price, quotation or proforma invoice has gone out |
| Follow-up due | Next step | You've promised to come back on a date |
| Negotiating | Next step | They're comparing prices or asking for a better rate |
| Won | Outcome | Paid by UPI or bank transfer, booked or ordered |
| Lost | Outcome | They said no, bought elsewhere or went quiet after your last follow-up |
- One source label per chat, set on the first reply and never changed.
- Exactly one next-step label at a time, swapped as the lead moves, so filtering by Follow-up due gives a true list for the day.
- One colour per type, with green and grey kept for Won and Lost, so the chat list reads at a glance.
- A weekly tidy-up: anything still on New after a day, or on Follow-up due with the date passed, gets attention first.
Labels across a team: what the app can't do
In the app, labels belong to one WhatsApp account. They sort chats; they don't decide who sees them or say who is handling a lead. A team running three numbers keeps three separate sets in step by hand, and chat assignment needs multi-agent, a paid feature.
In WavesFlo's shared inbox, a person sets labels on the conversation, and the list filters by label alongside number, unread, assigned to you, the shared queue and chat type. Because labels sit on the conversation rather than on one phone, everyone who can see it sees the same labels. A manager can open every Quote sent lead across all numbers at once, and a rep, who sees only their own conversations, can filter to their Follow-up due leads. Pair labels with assigning chats so every labelled lead also has an owner; the inbox page lists every filter.
Labels or a CRM: when do stages move out of WhatsApp?
Labels are tags, mostly set by hand. They hold no deal value, close date or record of when a lead moved, and they can't produce a forecast or a report by rep. That is fine while one manager can keep the picture in their head. Move stages into a CRM once you need reports by source or rep, deal values, reminders, or a record that survives a rep leaving.
Keep WhatsApp for the conversation and let the CRM own the stage. WavesFlo connects natively to HubSpot and Zoho CRM: once a workspace admin switches syncing on, each one-to-one chat and opt-out is added as a note on the contact with the matching phone number; group messages never reach the CRM. For Salesforce or other CRMs, or to create and update leads, a signed message.received webhook can feed n8n or Power Automate; n8n's Zoho CRM node, for one, can create a lead or update it if it already exists. Logging WhatsApp leads in Zoho CRM walks through that route, and a lead process for the whole team shows where labels fit. WavesFlo isn't a CRM and doesn't move leads between stages for you; the sales team guide to WhatsApp shows how labels, assignment and follow-ups fit together.
Questions
How many labels can I create in WhatsApp Business?
Up to 20, as of October 2026. WhatsApp is replacing labels with lists, and lists have the same cap of 20. Each WhatsApp number is a separate account with its own set, so a business with three numbers has three sets.
Why can't I see labels in WhatsApp Business anymore?
WhatsApp is gradually turning labels into lists, and its help centre says labels might not be available to you. In an updated app, open Tools → Lists: that is where you now create lists, add chats to them and find the chats in each one.
Do WhatsApp Business labels work on WhatsApp Web?
Yes. WhatsApp's help centre gives Web steps for a Business account: create labels under Tools → Lists, and apply one from a chat's menu with Add to list. Linked devices work without the phone online, so you can label chats from a computer.
Can I filter WhatsApp Business chats by label?
Yes. Open a label to see every chat that carries it: on iPhone through Tools → Lists, on Android through Chats → More options → Label chat. Tapping a customer's profile photo on the Chats screen shows the labels on that chat.
Can I use WhatsApp labels as a sales pipeline?
Only loosely. Labels are tags, mostly set by hand, with no deal values, dates or history, and as of October 2026 the app allows 20. They work for a small team tracking source and next step; once you need stage reports, values or reminders, keep stages in a CRM such as Zoho CRM or HubSpot and use labels for day-to-day sorting.
