Yes, several people can use one WhatsApp Business account. As of October 2026, the free app runs on one phone plus up to four linked devices (WhatsApp Web, WhatsApp Desktop, an Android tablet or a second phone), so five people can reply at once. WhatsApp's paid multi-agent feature allows up to 10 devices and adds chat assignment.

Sharing the account is the easy part. Sharing the work is harder: who owns which customer, who may see which chats, and what happens when the business runs more than one number. This guide covers every route — the phone itself, linked devices, multi-agent, a shared inbox and platforms on Meta's Cloud API — with the steps for Android and iPhone, and the point where each one stops, as of October 2026.

Can two people use the same WhatsApp Business account?

Yes, through linked devices. The phone that registered the number stays the primary device, and everyone else works on a linked one. WhatsApp's help centre sets the free limit at four linked devices and one phone at a time. Each linked device connects to WhatsApp on its own, so people can reply at once, even while the phone is switched off. The rules that come with it:

  • The primary phone must be used at least once every 14 days. If it isn't, every linked device is logged out.
  • A linked device left unused for 30 days is disconnected automatically.
  • New devices can only be linked from the primary phone, so whoever holds it decides who gets in.
  • Some things stay on the phone: sharing and viewing live location, creating and viewing broadcast lists, and adding a status.
  • Chats with Restricted chat turned on stay on the phone: on the latest version of WhatsApp, either person in a one-to-one chat, or a group's admins, can switch it on, and nobody in that chat can then use linked devices for it.
  • Customers see your business, never which person or device replied.

The linked devices limit guide covers these rules in more depth, and why WhatsApp Web keeps logging out explains what to do when the 14-day rule bites.

How do you use WhatsApp Business on multiple devices?

  1. On the computer, open web.whatsapp.com or the WhatsApp desktop app. It shows a QR code.
  2. On the primary phone, open WhatsApp Business. On Android, tap More options (the three dots) → Linked devices → Link a device. On iPhone, go to Settings → Linked devices → Link a device.
  3. Unlock with your fingerprint, face or phone PIN if asked, then point the phone at the code.
  4. To add a second phone instead, Android or iPhone, install WhatsApp Business on it, tap Agree and continue, then Link as companion device from its menu, and scan the code it shows from the primary phone.
  5. No camera to hand? On WhatsApp Web, choose Link with phone number, enter the business number, and type the 8-character code on the phone when the Enter code notification appears.
Decide what a colleague should see before you link their device. A linked device carries the account's whole chat list, including conversations that have nothing to do with their job.

What is multi-agent in WhatsApp Business?

Multi-agent is WhatsApp's own answer for teams. It is a premium feature that comes with a Meta Verified for Business subscription or a Meta One business plan, and WhatsApp's help centre warns that it may not be available to you yet: Meta decides which plans a business is offered from its activity on WhatsApp, and some plans are limited to certain locations. Where it is available, it adds three things:

  • More devices, set by the plan. As of October 2026, Meta Verified's Business Standard, Plus, Premium and Max plans link up to four, six, eight and 10 devices. Linked devices can be named, usually after the agent, with or without multi-agent.
  • Chat assignment. On Android, press and hold a chat, then More options → Assign chat. On iPhone, open the chat, tap the contact's name, then Assign chat. Agents can filter the chat list to Assigned to you.
  • A record of who sent what: press and hold a message and tap Info to see the agent and the device.

Devices are linked from Tools → Subscriptions → Meta Verified (or Meta One) → Linked devices on the primary phone. Three catches before you pay: with more than four devices linked, calls ring only on the primary phone; tablets aren't supported; and if the subscription lapses, only the four most recently active devices stay linked.

What the app still doesn't do for a team

Even with multi-agent, the app is one account on one number, run from one phone. Teams tend to hit the same three walls:

  • No roles. Assignment records who owns a chat, but WhatsApp describes no setting that hides the other chats from an agent's device, or that lets someone read without being able to reply.
  • One number per account. Each number has its own primary phone, its own linked devices and its own subscription, and a Meta Verified subscription can't be moved to another account. A team answering three numbers switches between three chat lists, and there is no single view where one number is open to everyone and another to two people.
  • One point of failure. New devices are linked only from the primary phone, and if that phone goes unused for 14 days, everyone is logged out at once.

Options for multiple users, compared

A shared inbox linked like WhatsApp WebSet by the toolSeveral numbers in one list, roles, assignment and internal notesTakes a linked-device place on each number; each phone still needs opening every 14 days
A platform on Meta's Cloud APISet by the platformAgent logins, routing and automation through the APIMessages the business starts need formats Meta approved, charged per message; group chats don't sync

A platform on Meta's Cloud API is a different product, not a bigger app. Since 1 July 2025 Meta has priced it per message. As of October 2026, each business number gets 1,000 free service messages a month (replies inside the 24 hours after a customer's last message) and Meta charges from the 1,001st; outside that window a business can send only message formats Meta has approved in advance, which are charged. A Business app number can now join the Cloud API and keep the app, but Meta's documentation says group chats are not synchronised, broadcast lists turn read-only, and every linked device is unlinked when you connect. Supported companion devices can be linked again afterwards; as of October 2026, Meta lists some, such as the Windows app, that can't. For a team whose customers live in WhatsApp groups, that settles it.

How does a shared WhatsApp inbox work?

A shared inbox, sometimes called a team inbox, is the route for teams that need roles and more than one number. In WavesFlo, each number is linked by QR code from Linked devices, like WhatsApp Web, and every linked number's chats land in one list, with a coloured stripe on each row naming the number the chat came in on. A reply goes out on that same number, so a customer never hears back from a number they didn't write to.

  • Five roles. Admins and Managers see every conversation and the inbox settings; a Team leader sees chats assigned to them or their teams; an Agent sees only chats assigned to them; a Viewer reads everything but can't reply or reassign.
  • Per-number access on top of the role. A number is open to the whole workspace or restricted to named teams and people, who may either see its chats or operate it: reply, send and assign.
  • Assignment by hand or round-robin within a team, internal notes the customer never sees, and quick replies recalled by typing a slash and a shortcut.
  • A colleague typing in the same thread shows live, so two people don't answer the same customer.
  • A choice per team, on Growth and Enterprise: automatic answers from keyword replies, a chatbot and AI replies, AI drafts for someone to check and send, or nothing automatic.

Three limits to plan around: a thread starts when its number is linked, because WhatsApp doesn't hand over earlier history; search matches a chat's name, number and latest message rather than everything ever said; and a chat with Restricted chat turned on stays on the phone, so it never reaches the inbox. The shared inbox is on the Growth plan and above; the inbox page walks through the whole model.

Which option fits your team

  • Two to five people on one number, all sharing everything: linked devices on the free app.
  • Up to 10 people on one number who need to know who owns each chat: multi-agent, if Meta offers it to your business.
  • Several numbers, or people who should see only some chats: a shared inbox with roles and per-number access.
  • High volumes of one-to-one conversations started by ads or your own systems, with no need for groups: a platform on Meta's Cloud API.

If the real question is one person juggling several numbers, see how to run multiple WhatsApp accounts on one phone or computer. If the numbers exist to send campaigns rather than answer chats, spreading campaigns across many numbers covers the pacing side.

Questions

Can I use WhatsApp Business on two phones with the same number?

Yes. Install WhatsApp Business on the second phone, Android or iPhone, tap Agree and continue, then Link as companion device from its menu, and scan its code from the primary phone's Linked devices screen. As of October 2026 it counts as one of the four linked devices, and live location and adding a status aren't available on it.

How many people can use one WhatsApp Business account?

As of October 2026, up to five at once on the free app: the primary phone plus four linked devices. With multi-agent, through Meta Verified or a Meta One business plan, up to 10 devices, depending on the plan.

Can customers see which employee replied on WhatsApp Business?

No. Customers see the business, not the person or the device. With multi-agent, your own team can check which agent sent a message from that message's Info screen.

Does the main phone need to stay online for linked devices to work?

No. As of October 2026, linked devices keep working while the phone is offline, but they are all logged out if the primary phone goes unused for more than 14 days.

Is WhatsApp Business multi-agent free?

No. It is a premium feature of Meta Verified for Business and Meta One business plans, and Meta limits which businesses and locations are offered each plan.
