WhatsApp group management tool: Every group on every number, run as a team.
Groups from every linked number sit beside direct chats in one shared inbox, each answered from the number it is on, with posts paced per number and reports for every group.
Who it is for
Who runs WhatsApp groups on WavesFlo?
Businesses whose customers, dealers, students or staff talk in groups spread across many numbers.
Dealer and distributor networks
A group per dealer or region, answered from the sales and service numbers.
Coaching institutes and schools
A group per batch or class, with notices posted on a schedule.
Real estate and project sales
A group per project or broker network, with each enquiry given an owner.
Retail chains and franchises
Store and staff groups on every branch number, read from one screen.
How it works
How do your groups get into WavesFlo?
Through the numbers that are already in them. Nothing is moved, and no group is recreated.
Link each number
Scan a code from WhatsApp’s Linked devices on its phone. The phone keeps working.
Its groups join the list
The groups and direct chats on that number arrive in one list, marked with the number.
Decide who reaches what
Roles and per-number access set who sees and answers each number’s groups.
Answer, post and measure
Reply from the inbox, post into the groups you pick, and read each group’s reports.
Groups in the inbox
How does a team answer every group from one place?
- One list: groups and direct chats from every linked number, newest first.
- Marked by number: each group shows the number it is on, and a reply leaves from that number.
- An owner each: a group is assigned like any chat, so one person answers it.
- Filter to groups: narrow the list to groups alone, or to one number’s.
Posting
How do you post into many groups without flooding a number?
- Pick the groups: a campaign posts into the groups you choose, from numbers already in them.
- Approval first: an optional sign-off and a pre-send check before anything leaves.
- Daily and hourly caps: 500 a day and 60 an hour per number, by default.
- Quiet hours: 22:00 to 08:00 by default, in your timezone.
A group counts as one recipient for the 24-hour cooldown, so a second post into the same group waits until it ends.
Group reports
How do you know which groups are still working?
- Busiest hours: member activity by the hour, in your timezone.
- Message mix and top senders: what members send, and who drives the conversation.
- Membership: joins and leaves, rebuilt into a daily timeline.
- Results per group: delivery and read rates for each group, not one average.
Read rates are a floor: people can turn read receipts off.
Limits
What WavesFlo won’t do in groups. Stated up front.
Some are WhatsApp’s rules and some are how WavesFlo works. No tool can promise a number won’t be restricted.
by design
Groups are joined on the phone.
A number posts only into groups it already belongs to.
by design
No member adding or list exports.
WavesFlo never adds people to groups or pulls member lists in bulk.
whatsapp’s rule
A post reaches the whole group.
No member can be left out; send to a contact list when some should not hear it.
whatsapp’s rule
History starts when a number is linked.
Earlier group messages are not handed over, so a thread begins at the first connection.
What teams ask about group management.
All questionsWhat is a WhatsApp group management tool?
Software for the group work WhatsApp leaves to you: answering many groups as a team, posting one update into many groups on a schedule, and knowing which groups are still active. WavesFlo does all three across every number you link.
Can several people manage the same WhatsApp groups?
Yes. Each number is linked once, and everyone with access works its groups under their own login. A group can be assigned to one person, and roles and per-number access decide who sees it.
Does a number have to be an admin of the group?
Only where the group’s settings require it. In a group where only admins can send, the number has to be an admin to post. WhatsApp group admin settings explains each switch.
Can WavesFlo post into WhatsApp groups on a schedule?
Yes. A campaign posts into the groups you pick at the time you set, inside quiet hours and the number’s daily and hourly caps, with optional approval first. See sending one message to many groups.
Does the phone keep working once its number is linked?
Yes. It is linked from WhatsApp’s Linked devices screen, like WhatsApp Web, and carries on as before. Open it at least once every 14 days to stay linked.
Can group joins and leaves reach our own systems?
Yes. A join, a leave, a settings change and a join request each fire a signed webhook event, which n8n or Power Automate can pick up. See the developer reference.
What does WavesFlo cost for groups?
WavesFlo is sold as one plan, Enterprise, quoted on the connected numbers and team members you run, billed annually; messages are not metered, and neither are groups or members. See pricing.
