WhatsApp lead management is five habits: catch every enquiry from every number, give each lead one owner, label it so it can be found, follow up on a set schedule, and record it in your CRM or a sheet. The WhatsApp Business app handles this for one person; a team on several numbers needs a shared inbox.
Below, each step covers what the WhatsApp Business app can do as of October 2026, where it stops, and how a shared inbox such as WavesFlo handles it.
What is WhatsApp lead management, and why do leads get lost?
A WhatsApp lead is anyone who messages your business about buying: an IndiaMART buyer asking for a rate on MS pipe, a parent asking about Class 11 fees, someone who tapped an ad for a 2BHK in Pune. Managing leads means each one gets an answer and an owner, and the result is recorded where the business can count it. Leads slip through ordinary gaps:
- Enquiries arrive on several numbers, and nobody sees all of them.
- Nobody owns the chat, so two reps quote different prices, or each assumes the other replied.
- A buyer who went quiet on Tuesday is buried under forty newer chats by Friday.
- Follow-up lives in one rep's head and goes with them when they're away.
- Nothing is recorded, so nobody can say which source sends buyers.
Step 1: How do you catch every enquiry from every number?
Get every number's chats into one place first. In the WhatsApp Business app, each number is a separate account on its own phone, with up to four linked devices, so a team with three numbers watches three chat lists, and an enquiry on the unwatched one waits.
A shared inbox replaces those lists with one. In WavesFlo, each number is linked by QR code from WhatsApp's Linked devices screen, like WhatsApp Web, and the phone carries on working. Direct chats and groups from every number land in one list, each row marked with the number it arrived on, and the reply goes out on that number.
Plan for four things:
- Each link takes one of the number's four linked-device places, and the phone must be opened at least every 14 days or WhatsApp logs its linked devices out.
- Threads start when a number is linked; earlier history stays on the phone.
- Chats with Restricted chat turned on stay on the phone. On the latest version of WhatsApp, a group's admins, or either person in a one-to-one chat, can turn it on, and nobody in that chat can then use linked devices for it, so it doesn't reach the inbox.
- Filters for number, unread, assigned to you, the shared queue, label and chat type turn the morning's new enquiries into one short list; the inbox page shows each of them.
Step 2: How do you give every lead one owner?
Every lead needs one named person responsible for the next message. In the WhatsApp Business app that takes multi-agent, a paid feature of Meta Verified for Business and Meta One business plans, which lets you assign a chat to an agent. Without it there is no assignment, and every linked device sees every chat.
In WavesFlo, a person hands each conversation to a teammate or leaves it in the shared queue, and on Growth and Enterprise round-robin can give each new chat to the next person in a team. Admins and Managers see everything, a Team leader sees their own and their team's conversations, an Agent sees only what is assigned to them, and a Viewer reads without replying. A colleague typing in the same thread shows live, so two reps don't answer one buyer, and internal notes carry context the customer never sees. How to assign each chat to one rep covers handovers and a daily routine.
Step 3: How do you label leads so you can find them later?
Labels answer two questions at a glance: where did this lead come from, and what happens next? The Business app allows up to 20, though WhatsApp's help centre says labels are becoming lists, rolling out gradually, so your app may show Tools → Lists instead. Keep the set short:
| Label | Answers | Apply it when |
|---|---|---|
| IndiaMART | Source | The first message came from an IndiaMART enquiry |
| Website | Source | They used the WhatsApp link or button on your site |
| Referral | Source | A customer, broker or partner sent them |
| New | Next step | Nobody has replied yet |
| Quote sent | Next step | A price or quotation has gone out |
| Follow-up due | Next step | The owner has promised to come back on a date |
| Won | Outcome | Paid, booked or ordered |
| Lost | Outcome | Said no, or went quiet after the last follow-up |
In WavesFlo, a person sets labels on the conversation and the list filters by them, so a manager can see every Quote sent lead across all numbers at once. They are tags, not stages: no stage history, deal value or score sits behind them. To label your leads in the app, the labels guide has the Android and iPhone steps.
Step 4: How do you follow up without missing anyone?
Following up reliably needs a record of what was promised, a way to see who is due today, and words ready to send:
- Write the promise in an internal note, such as 'Call back Thursday 4 pm IST about the 3BHK floor plan'. The team sees it; the customer never does.
- Apply a Follow-up due label and check it each morning, along with your unread and assigned chats.
- Save common follow-ups as quick replies, recalled by typing a slash: up to 50 in the Business app, or one set for the whole workspace in WavesFlo. A quick reply only fills the message box; the rep edits it and sends it.
- For many leads at once, send a campaign: one personalised message per Google Sheet or CSV row, scheduled in working hours, with optional approval and the opt-out register checked at send time.
WavesFlo doesn't remind reps when a follow-up is due, so the date lives in the note, the label or your CRM's task list. And WhatsApp is testing a monthly cap on messages to people who haven't replied, so stop after two or three unanswered follow-ups; see the limit on messages to people who don't reply.
Step 5: How do you track WhatsApp leads in a CRM or sheet?
WhatsApp is where leads talk; the CRM or sheet is where they are counted. If you use HubSpot or Zoho CRM, connect it from WavesFlo's dashboard by signing in to the CRM. Nothing is sent until a workspace admin switches syncing on. After that, each incoming and outgoing one-to-one chat, and each opt-out or opt-in, is added as a note on the matching CRM contact, found by phone number. Group, status and channel messages never reach the CRM.
For Salesforce, a sheet or another system, use webhooks: in WavesFlo, every incoming message raises a signed message.received webhook carrying the id of the connected number it arrived on. Through n8n or Power Automate, a workflow can turn a new chat into a Salesforce lead or a row in Google Sheets, where n8n's Append or Update Row operation keeps one lead to one row. Delivery is at least once and not always in order, so deduplicate on the event id. Let the CRM own stages and deal values: WavesFlo is not a CRM. To track WhatsApp leads in a Google Sheet, follow the step-by-step workflow.
Can you manage WhatsApp leads with the free WhatsApp Business app?
Yes, for one person, or a small team sharing one number where everyone may see everything. It runs out when a second number arrives, when reps should see only their own leads, or when leads must reach a CRM without retyping:
| Step | Business app | With multi-agent | Shared inbox (WavesFlo) |
|---|---|---|---|
| Catch | One number; the phone plus four linked devices | One number; up to 10 devices, by plan | Every linked number in one list, each row marked with its number |
| Own | No assignment; every device sees every chat | Assign chats; see which agent sent each message | Assigned by hand, or round-robin within a team; roles and number access limit who sees what |
| Label | Up to 20 labels, now becoming lists | The same | Set by a person; the list filters by label |
| Follow up | Up to 50 quick replies | The same | Workspace-wide quick replies, internal notes, per-row campaigns |
| Record | Usually typed into a sheet by hand | The same | HubSpot or Zoho CRM natively, with one-to-one chats as contact notes; other CRMs or a sheet through webhooks to n8n or Power Automate |
Comparing shared inboxes? Check how numbers connect and whether the phone and its groups keep working, whether reps can be limited to their own leads, and how leads reach your CRM. WhatsApp Business with multiple users compares every option, including WhatsApp Cloud API platforms.
What a shared inbox won't do for your leads
WavesFlo is an inbox and sending engine for the numbers your team already uses. It doesn't:
- Run a pipeline: there are no stages, deal values, lead scores or forecasts.
- Remind reps when a follow-up is due.
- Search beyond a chat's name, number and latest message.
What it does add, on Growth and Enterprise, is a choice per team: round-robin for new chats, and automatic answers from keyword replies, a chatbot and AI replies, AI drafts for a rep to check, or neither. Every inbox reply still passes the opt-out register, the emergency pause and the number's daily ceiling. The inbox is on Growth and above, at ₹2,999 per session per month with one team member and one number included, ₹499 per extra team member and ₹999 per extra number per month. WhatsApp for sales teams shows the whole routine.
Questions
How do I track leads that come in on WhatsApp?
Give every lead a source label and one owner, and record it in a CRM or a Google Sheet. With the WhatsApp Business app alone, that record is typed in by hand. WavesFlo connects natively to HubSpot and Zoho CRM: once an admin switches syncing on, each one-to-one chat is added as a note on the matching contact. For Salesforce or a sheet, a signed webhook to n8n or Power Automate writes each new chat.
Can I manage WhatsApp leads without a CRM?
Yes, while the team is small. Labels for source and next step, internal notes for promises, and a shared Google Sheet with one row per lead cover the basics. A CRM earns its place once you need stages, deal values and reports by rep.
How do I stop two salespeople replying to the same lead?
Give every chat one owner. In the WhatsApp Business app that needs multi-agent, a paid feature of Meta Verified and Meta One business plans. In WavesFlo, each conversation is handed to one rep, and a colleague typing in the same thread shows live, so a second reply doesn't go out by accident.
What is the best way to organise WhatsApp leads?
Use a small, fixed set of labels that everyone applies the same way: a few for source, such as IndiaMART, Website and Referral, and a few for the next step, such as New, Quote sent, Follow-up due, Won and Lost. As of October 2026 the WhatsApp Business app allows up to 20 labels.
Can WhatsApp leads be assigned automatically?
In WavesFlo, yes, on Growth and Enterprise: round-robin gives each new chat to the next person in a team, and a person can still hand any lead on. Without it, the lead waits in the shared queue, where admins and managers can see it. Multi-agent assignment in the WhatsApp Business app is manual: you select the chat and choose the agent.
