Clients write to whoever they know. A founder's phone, an account manager's phone and the project lead's phone each hold a piece of the relationship, and none of it is visible when the person is on leave. Client work needs an owner per client, a shared record of what was said and promised, and a way for a partner to see how it is going without asking.
How should it be set up?
| Need | How | Why |
|---|---|---|
| One owner per client | Each client chat has a named owner; groups are worked by the account team | The client always has someone |
| Shared memory | Internal notes and labels on the conversation | A colleague can step in |
| Follow-ups | Tasks on an opportunity or a labelled chat | Promises show up on the owner's list |
| Oversight | A Viewer role for partners; reports for managers | Nobody has to ask for an update |
| Handover | Reassign with a note and tell the client | Nothing is lost when roles change |
| Number per team | A number per service line or per client brand | The right team answers |
What does an account manager do?
- Open Assigned to you and clear the waiting chats.
- Reply in the client group with the project in the first line.
- Write a note after any call, with decisions and dates.
- Set the next follow-up as a task.
- Send the weekly update from a saved message, filled in by hand.
What about sensitive work?
Contracts, invoices and anything covered by confidentiality should move to your secure channel; use WhatsApp for questions, quick approvals and scheduling. Roles control who sees which number, and the audit trail records who changed roles, members, teams and number access. Tell clients that messages are kept in a shared inbox, so they are not surprised.
What does the first month look like?
- Week 1: list clients on WhatsApp, their owners and the numbers in use.
- Week 2: link the numbers, set roles and number access.
- Week 3: move one client group per team into the inbox and add notes.
- Week 4: review first-reply times and repeat requests.
What are the usual mistakes?
- Everything in the owner's head.
- Approvals buried in a long chat.
- Contracts sent over a group.
- A founder who answers everything, so nobody else learns.
When every client's chats sit in one inbox with a named owner per client, the knowledge stops living in the founder's head and a colleague can pick up a thread with its notes. An approval recorded as a note on the conversation is far easier to find later than one buried in a long chat.
Questions
Can an agency give every client an owner on WhatsApp?
Yes. Every conversation has a named owner, and a colleague can take over with the notes and labels.
Can partners see client chats without replying?
Yes, with the Viewer role, which reads every conversation without being able to reply.
Are client groups visible to the team?
Groups from linked numbers appear in the inbox, subject to role and number access.
