A manager can see what a WhatsApp team is doing in three ways that do not need anyone to report: read-only access to the conversations that matter, reports counted from records, and a short list of exceptions each day. When agents work on personal phones, none of these exist, which is why managers end up chasing updates.
| Way | What it gives | Effort |
|---|---|---|
| Reports | First-reply and resolution times, target attainment, ticket age, load per agent, funnel, win and loss reasons | Open the dashboard |
| Role access | Managers see every conversation; team leaders their team's; a Viewer sees every conversation without being able to reply | Set once |
| Exceptions | Customers waiting, overdue and unassigned tickets, overdue tasks, the backlog | A few minutes a day |
Who sees what?
| Role | Conversations | Reports |
|---|---|---|
| Admin | Every conversation | The workspace's |
| Manager | Every conversation | The workspace's |
| Team leader | Their own and their team's | The team's |
| Agent | Only those assigned to them | Their own |
| Viewer | Every conversation, read-only | No reply, no edits |
Numbers narrow it further: a number can be open to the whole workspace or restricted to named teams or people, so one branch's chats stay with that branch.
What should a manager look at each day?
- Customers waiting, counted as people and not messages.
- Overdue and unassigned tickets.
- Overdue tasks and what is in Incoming.
- The backlog, if the queue is working.
Can the figures be trusted?
They are counted from records, every rate shows its fraction, a tile with nothing measured says so, and a figure the product cannot compute honestly is not shown. The audit trail records who changed roles, members, teams, number access, campaigns, settings, API keys and CRM connections.
Tell the team what managers can see. Monitoring that is understood changes behaviour for the better; monitoring that is discovered does not.
What a manager sees is set by role, and the same roles decide which numbers each agent can open in the first place. WavesFlo for large businesses explains how a head office keeps that view across many numbers.
Questions
How do I monitor my WhatsApp team?
Use role-based access to the conversations, reports counted from records, and a short daily list of exceptions such as customers waiting and overdue tickets.
Can a manager read agent chats?
Admins and managers see every conversation, and a Viewer sees every conversation read-only.
Does an agent see other agents' reports?
No. An agent sees their own book, a team leader the team's, a manager the workspace's.
