A WhatsApp group for school parents works best announcement-only: the class teacher and a parent rep post, everyone else reads, and anything about one child goes one-to-one. Ordinary groups show every member's number to everyone, so school-wide notices belong in a community's announcement group, where numbers show only to admins and people who already have them.

This guide is for class teachers, coordinators, principals and parent reps. It covers why class groups go wrong, a better setup, the settings to change, ready-to-copy rules and notices, when to use @all, children's data under India's DPDP Act, and handing admin duties from one class rep to the next. Only the DPDP section is specific to India.

Why do class WhatsApp groups go wrong?

  • Noise buries notices. One homework question draws a string of "ok, noted" replies, and the parent-teacher meeting notice that mattered sits somewhere underneath.
  • Every number is on show. WhatsApp's help centre says members' phone numbers can't be hidden in a group, so each parent's number is visible to every other parent, and to anyone who joins through a forwarded link. Optional usernames, which began rolling out gradually in June 2026, hide the number only for parents who set one.
  • Messages arrive at 11 at night, so parents mute the group, and then miss the notice that mattered.
  • Forwards travel fast. A "school closed tomorrow" message from another school's group can start a panic; WhatsApp labels a message that has passed through a chain of five or more chats "Forwarded many times".
  • Personal matters land in public: a fee reminder or a complaint about one child, in front of every family in the class.

Should a school use a WhatsApp group, community or channel?

Separate one-way news from class business, and class business from anything personal. WhatsApp gives you a tool for each layer.

Which WhatsApp tool carries which message
LayerWho can postWhose number others seeUse it for
School channelSchool admins onlyNobody's: followers are hidden from each other, and admins see a follower's number only if they are contactsPublic news: results day, admissions, events
Community announcementsSchool admins; parents can reply and reactAdmins see members' numbers; other members see a number only if they already have itSchool-wide notices: holidays, closures, the fee calendar

A community links up to 100 groups plus its announcement group, with up to 2,000 members in total, so one community covers a small school or one section of a large one. Every member is automatically in the announcement group. Only admins post announcements; parents can reply and react, and admins can delete replies but can't switch them off. The full comparison is in community vs group vs channel.

A channel suits news anyone could read, because anyone can: every channel is public, it can be found through WhatsApp's directory, and there is no private channel. Children's names, photos and class lists never belong there. One more constraint: as of October 2026 a community can't be created on the WhatsApp Business app, so create it from a standard WhatsApp account owned by the school.

Which settings should a class WhatsApp group use?

  1. Open the class group, tap the group name, then tap Group permissions. The steps are the same on Android and iPhone.
  2. Turn off Send new messages, so only admins (the class teacher and reps) can post.
  3. Turn off Edit group settings, so the name, icon and description stay as the school set them.
  4. Turn off Add other members and Invite via group link or QR code, and turn on Approve new members, so nobody joins without an admin letting them in.

Put the rules in the group description, which holds up to 2,048 characters, rather than a pinned message: people who join after a message was sent can't see it, even when it's pinned. Then ask parents to set a member tag, a label WhatsApp added in January 2026 that each person sets for themselves in a group, such as "Aarav's mum, 5B", so the class isn't decoding a column of phone numbers.

For classes that share photos, turn on Restricted chat: tap the group name, then Restricted chat. Only admins can turn it on in a group. It stops members exporting the chat, saving its media to their gallery automatically and using Meta AI features in it, and stops anyone on the latest version of WhatsApp using linked devices for the chat, so it stays off WhatsApp Web and the desktop apps. As of October 2026, WhatsApp's help centre says Restricted chat is replacing Advanced chat privacy, which older versions still show; chats that already use Advanced chat privacy don't switch over automatically.

Ready-to-copy rules and notices

Adapt the names and times, keep the structure. The group rules guide has more wording for other kinds of group.

Class 5B parents · group rules
1. Notices from the class teacher and class reps only. Only admins can post.
2. Questions about your own child go to the class teacher one-to-one, 8 am to 4 pm on school days.
3. No forwards, greetings or advertising, please.
4. Don't share photos of other people's children outside this group.
5. Fees and marks are never discussed here; they come to you one-to-one from the school office number.
6. Urgent notices use @all. Please don't mute @all.

Fee reminder, one-to-one only

Post the parent-teacher meeting as a WhatsApp event too: since January 2026 you can set a custom early reminder for invitees, such as the evening before, instead of posting the notice again.

When should a school use @all?

WhatsApp announced @all on 4 August 2026. In groups of 32 or fewer members anyone can use it; in larger groups only admins can. As of October 2026, WhatsApp's help centre says @all may not have reached every account yet, so check that the admins can use it before the group rules promise it. It notifies everyone, even people who have muted the group, unless they have muted @all itself, and the first example WhatsApp gave for it was a school closure.

  • Use it for closures, same-day changes to timings or pick-up, safety messages, and deadlines that fall today.
  • Don't use it for homework, next week's reminders, greetings or thanks.

Every unnecessary @all teaches parents to mute @all, and then the closure notice arrives silently. The guide to tagging everyone in a group covers the rest of how mentions work.

What does India's DPDP Act mean for school WhatsApp groups?

The Digital Personal Data Protection Act, 2023 treats anyone under 18 as a child. Section 9 requires verifiable consent from a parent or lawful guardian before an organisation processes a child's personal data, and bars processing likely to harm a child's well-being, as well as tracking, behavioural monitoring and targeted advertising directed at children. Penalties for breaching these duties go up to ₹200 crore. The DPDP Rules were notified on 13 November 2025. Section 9 and the parental-consent rule take effect 18 months later, around 13 May 2027, and MeitY had published no change to that date as of October 2026.

The Rules exempt educational institutions only for tracking and behavioural monitoring in the interests of their educational activities or children's safety; that does not cover everything a school does with a child's data. The Act also excludes data an individual processes for a personal or domestic purpose. Neither the Act nor the Rules mention class WhatsApp groups, but a group the school runs for school business is the school's to get right.

  • Collect consent at admission for adding parents' numbers to class groups, and separately for photos.
  • Share photos of children only with written consent, and never with names attached.
  • Keep marks, health, fees and behaviour one-to-one.
  • Remove families who leave, and start each year with a fresh group.

The coaching institutes guide has a consent line for an admission form that schools can adapt. This is a summary, not legal advice.

Rotating class reps as group admins

Class reps change every year, and a group run from one parent's phone leaves with that parent. Build the handover into the setup:

  1. Create every class group from a school-owned number. A group's creator can't be removed while they stay in it, so the school keeps control.
  2. Keep at least three admins: the school number, the class teacher and a parent rep. If the only admin leaves, WhatsApp makes a member chosen at random the admin.
  3. To hand over, open Group info, tap the new rep and choose Make group admin, then tap the outgoing rep and choose Dismiss as admin.
  4. Reset the invite link at the same time (Invite via link or QR code, then Reset link), so links shared last year stop working.
  5. At the start of the year, use Create Similar Group in Group info and deselect the families who have left, instead of carrying the old group forward.

Posting one notice into every class group

School-wide news belongs in the community's announcement group, which reaches every member at once. Some notices have to go into each class group instead, such as bus timings that differ by class, and forwarding reaches only five chats at a time. WavesFlo posts one message into every class group the school's number belongs to, at a set time, with a randomised pause between posts and nothing sent in quiet hours, and reports read rates for each group. It can't post into class groups with Restricted chat turned on, because it connects the number as a linked device, and it doesn't post community announcements. The manual routes are in sending one message to many groups.

Questions

Can parents see each other's phone numbers in a WhatsApp group?

Yes, in an ordinary group every member's number is visible to every other member, and WhatsApp says it can't be hidden. In a community's announcement group a member's number is visible only to admins and to people who already have it, and optional usernames, rolling out gradually in 2026, hide it for parents who set one.

How do I make a school WhatsApp group where only teachers can post?

Open the group, tap the group name, tap Group permissions and turn off Send new messages. Make the teachers and class reps admins; everyone else can read but not post.

Should fee reminders be sent in the class group?

No. Send them one-to-one from the school office number to the parent concerned. A reminder in the class group tells every other family who owes what.

Can a school use a WhatsApp channel for parents?

For public news, yes. Channels are one-way and followers can't see each other, but every channel is public and discoverable, so nothing about individual children belongs there.

What happens if the only admin leaves a school WhatsApp group?

WhatsApp makes a member chosen at random the new admin. Keep two or three admins, including a school-owned number, so that never happens.

How many parents can join one WhatsApp group?

Up to 1,024 members, as of October 2026. A community links up to 100 groups plus an announcement group, with up to 2,000 members in total.
