WhatsApp marketing for real estate: a broker's playbook
WhatsApp marketing for real estate as brokers practise it: co-broking and buyer groups, listing posts that get read, RERA details and per-group timing.

WhatsApp marketing for real estate runs on three kinds of chat: co-broking groups where brokers swap inventory, buyer groups that people asked to join, and one-to-one chats where visits and negotiations happen. A listing that works in all three puts locality, configuration and price in its first line, and a post about a RERA-registered project carries its registration number.
This playbook is for brokers and property dealers in India; everything but the RERA section applies anywhere. It covers splitting your chats, five ready-to-copy listings, media, timing, running listings from a sheet, measuring each group, and limits on one-to-one follow-ups.
How do brokers use WhatsApp groups?
Each kind of chat has a different job, and mixing them up is how buyer groups fill with brokerage chatter and co-broking groups with sales copy nobody reads.
| Chat | Who is in it | Post | Keep out |
|---|---|---|---|
| Co-broking group | Brokers working one micro-market | Fresh inventory, buyer requirements, sold and rented updates | Buyer-facing sales copy; the same listing twice in a day |
| Buyer group | Buyers and investors who asked to join | A few chosen listings, price revisions, site-visit days | Other brokers' raw inventory; anything with an owner's number |
| One-to-one chat | One buyer, owner or tenant who contacted you | Shortlists, documents, visit confirmations, negotiation | Blind forwards of every listing you receive |
Two facts shape the rest. A group post reaches every member; nobody can be left out. And in an ordinary group every member can see every other member's phone number: WhatsApp's help centre says numbers can't be hidden in a group, and the optional usernames arriving in 2026 help only members who set one. A buyer group is therefore also a list of your buyers, visible to each of them and to any rival who gets in. Keep it announcement-only (tap the group name, then Group permissions, and turn off Send new messages) and take anything personal one-to-one.
How to write a property listing message for a busy group
A busy co-broking group can carry dozens of listings a day. Brokers scan rather than read, so the first line decides whether the rest is seen at all.
- First line: deal type, locality, configuration, price. "Resale | Baner, Pune | 2 BHK | ₹1.18 Cr" can be taken in at a glance.
- Then the three to five facts that decide a visit: carpet area (labelled as carpet), floor, facing, parking, possession or the building's age.
- Then the terms: brokerage sharing, availability, and who to call.
- A reference code such as BN-2B-114, so replies, forwards and your own sheet all point at the same flat.
- One property per message, so every reply is about one flat.
- Facts in text, not only on the photo. Text can be copied into another group; a price printed on an image has to be retyped by the next broker.

Photos, video and the brochure PDF
- Send eight to twelve real photos, not sixty. WhatsApp lets you select up to 100 at once, but a wall of photos pushes every other listing out of view.
- Lead with the room that sells the flat, usually the living room in daylight or the view: the first few images are what the group sees before anyone taps.
- Send floor plans in HD (tap the HD icon before sending and choose HD quality) so room dimensions stay legible.
- Keep walkthrough videos short. WhatsApp compresses video sent as media, so a long 4K walkthrough arrives at lower quality. For full quality, send it as a document (up to 2 GB), which people download before it plays.
- Name the brochure PDF for what it is, such as Project-Thane-West-price-list-Oct-2026.pdf rather than final_v3.pdf, because the file name is what shows in the chat and in every forward.
When should you post listings in WhatsApp groups?
When that group is awake, and a broker's groups rarely share one rhythm. A listing that lands while members are talking is seen before it scrolls away; one sent at midnight sits under the morning's messages.
To find each group's hours, scroll back a week and note when members post, or read them off a busiest-hours histogram: WavesFlo draws one for every group your number is in, in your timezone. The group marketing guide covers reading a group before you post.
Post each listing once per group, then update it with a price revision or a sold note rather than reposting it; repeat posts are the quickest way to be removed from a co-broking group.
Running listings from a Google Sheet
If your inventory lives in a spreadsheet, the posts can come from it: one row per property, one column per fact, and a status column you set to Sold or Rented rather than deleting the row.

Keep owners' and buyers' numbers out of that sheet, since anyone with the link can read it.
Which groups actually bring enquiries?
Judge each group by the enquiries it produces, not its size. That is what the reference code is for: when a message quotes BN-2B-114, you know which listing, and which group, earned it.
- Reads: tap and hold your message in the group, then tap Info. Read receipts can't be switched off in group chats, but anyone who reads only the notification isn't counted, so treat the number as a floor.
- Replies and visit requests per group, per month, counted by reference code.
- Membership: a group that loses members every time you post is telling you something about your posts.
Leave or mute the groups that produce nothing for a month. A custom chat list, one of the filters above your chats, keeps the productive co-broking groups together, and the guide to managing many WhatsApp groups covers the rest of the routine.
RERA rules for WhatsApp property ads
India's Real Estate (Regulation and Development) Act, 2016 doesn't mention WhatsApp, but it defines an advertisement as publicity "in any form", through "any medium", that offers property in a project or invites people to pay advances for it. Treat a group post as one.
- No registration, no advertising. A project that needs registering can't be advertised or booked before it is registered (Section 3), and a registered agent mustn't facilitate sales in an unregistered one (Section 10), so a "pre-launch" post inviting token amounts runs into both. Projects on up to 500 square metres of land, or with up to eight apartments, are exempt unless the state sets a lower threshold.
- Show the numbers. A promoter's advertisements must prominently carry the project's registration number and the authority's website (Section 11(2)), and an agent must quote their own registration number in every sale they facilitate (Section 9(5)).
- Maharashtra adds a QR code. MahaRERA's orders require the project's QR code, registration number and website on every project advertisement published since 1 August 2023, social media included, and on agents' advertisements since August 2023. Since April 2025 all three belong in the top-right quadrant, and agents add their own registration number. Penalties run up to ₹50,000 per violation.
- Other states set their own formats. Tamil Nadu's authority (TNRERA) has required the registration number, the project's QR code and its website in advertisements since its guidelines of 1 July 2025, and a circular dated 24 June 2026 added penalties from 1 July 2026. Haryana's Gurugram authority wants the number and website in bold at the top right.
Rentals are outside the Act, which excludes tenants from its definition of an allottee, and an owner's resale of a finished flat generally falls outside project registration, because the rules are written around units sold by the promoter. That is a reading of the text, not a ruling; check your state authority's current orders, and treat this as a summary, not legal advice.
One-to-one follow-ups and WhatsApp's limits
Deals close one-to-one, and that is where WhatsApp's anti-spam limits apply.
- Broadcast lists hold up to 256 contacts each and reach only people who have saved your number, as private chats. Where WhatsApp's monthly broadcast limit has rolled out, its help centre puts it at 35 free broadcast messages a month (as of October 2026); see the broadcast limit guide.
- Since late 2025 WhatsApp has also been testing a monthly limit on messages to people who haven't replied. As of October 2026 WhatsApp hasn't published the number, and a warning appears as you approach it; see the unanswered message limit.
- You can forward to five chats at once, but a listing forwarded to you can go on to only one more group at a time, and after a chain of five chats it is labelled "Forwarded many times". Re-post the text under your own reference, with the listing broker's agreement; the forwarding limits guide has the rules.
- WhatsApp's business rules expect you to have people's permission before messaging them and to stop when they ask. A buyer who says "no more listings" should get none, from any of your numbers.
For one-to-one follow-ups after an enquiry or a site visit, see real estate follow-up messages on WhatsApp.
Questions
Do WhatsApp property posts need a RERA number?
For a project that must be registered, yes. RERA requires the promoter's advertisements to show the registration number and the state authority's website, and in Maharashtra agents must add their own registration number and the project's QR code. Rentals are outside the Act.
What is the best time to post property listings in WhatsApp groups?
The hours when that group's members are active, which differ from group to group. Note when members post over a week, or use a busiest-hours histogram, and post inside those hours.
Can I add buyers to a WhatsApp group without asking them?
Ask first. People who limit group adds to their contacts get a private invite instead, which expires after three days, and adding people who never asked is the kind of behaviour that gets groups and numbers reported.
Is a WhatsApp group or a broadcast list better for property leads?
Use a group for listings everyone in it should see, and a broadcast list or one-to-one chat for anything personal. A broadcast list reaches up to 256 contacts who have saved your number, as private chats, and as of October 2026 is capped monthly where WhatsApp's broadcast limit has rolled out.
