A good property follow-up on WhatsApp names the project or flat, adds one useful thing, such as a price, a slot or a document, and asks one easy question. Reply to a new enquiry within the hour, confirm a site visit the day before and that morning, write the evening after the visit, and stop after two unanswered follow-ups.
The 20 messages below are for one-to-one chats between a buyer and a broker or a developer's sales team, written for India: portal leads, site visits, brochures in PDF, prices in lakh and crore. Swap in your own details. For listings posted in groups, the broker's playbook for WhatsApp groups has examples of a different kind.
How fast should you reply to a property enquiry?
Within the hour in working hours, and first thing the next morning if it came in late at night. A buyer comparing projects may have enquired about several that evening, and the reply that answers their actual question is the one they remember. After that, each message should have a reason:
| Moment | When | What to send |
|---|---|---|
| New enquiry | Within the hour, in working hours | The answer to their question, and one question back |
| Brochure or price list | When they say yes to it | The PDF, with a three-line summary above it |
| Site visit | On booking, the day before and that morning | Time, location pin and who will meet them |
| After the visit | The same evening | Thanks, and the one thing they asked about |
| Quiet buyer | A few days after your last message, then a week later | Something new each time, then a polite close |
| Negotiation | When the owner or developer answers | The figure in writing, with what it includes |
Messages for new portal enquiries
Whether the lead came from 99acres, MagicBricks, Housing.com, your website or an ad, start from the listing they asked about, not from a pitch, and say how you got their number. If they enquired by form rather than on WhatsApp, ask before sending more there: WhatsApp's Business Messaging Policy expects a business to have the person's opt-in. And answer in the language they wrote in; a Marathi or Hindi enquiry deserves a reply in kind.
Hello Ms Kulkarni, this is Rohan from [agency], Pune. You enquired on [portal] about the 2 BHK resale flat in Baner, ref BN-2B-114. It's still available at ₹1.18 Cr: 780 sq ft carpet, 9th floor, east-facing. Would you like the photos and floor plan here on WhatsApp?Hi Mr Shetty, this is Ananya from the [project] sales team, Thane West. Thanks for your enquiry. 2 BHK homes start at ₹89 lakh, with possession planned for December 2029. Are you buying to live in, or as an investment?Good morning Mr Iyer, Rohan from [agency] here. You asked last night about 3 BHK rentals in Koramangala under ₹75,000 a month. I have three that fit. Is a short call at 11 am all right, or shall I send the details here?Hello, this is Rohan from [agency]. Thanks for getting in touch about homes in Wakad. So I send you the right options: what budget are you working with, and is it to buy or to rent?Sending the brochure, price list and location
Send documents once the buyer has said yes to them, and put the key facts in text above the file, because the text is what shows in the notification. Name the PDF for what it is, such as Project-Thane-West-price-list-Oct-2026.pdf, and send the site as a location pin rather than a typed address.
Here are the brochure and the October price list for [project]. In short: 2 BHK from ₹89 lakh, 3 BHK from ₹1.24 Cr, possession December 2029, project RERA reg. no. [number]. Which configuration should I check availability for?Sharing the site location below. Coming along Ghodbunder Road, turn in after the petrol pump; the sales office is the glass building on the left. Visitor parking is free.Treat a price list or launch offer for a project that must be registered under RERA as an advertisement: it should carry the project's registration number, and your own if you are an agent, and some states add their own formats. The broker's playbook covers what each asks for. This is a summary, not legal advice.
Site visit confirmations and reminders
Confirm in writing as soon as the visit is booked, remind the buyer the day before, and send a short note that morning. Each message should make rescheduling a one-line reply, so a change of plan becomes a new slot rather than a no-show. Name the person who will meet them, so they ask for someone at the gate rather than a company.
Your site visit is confirmed: Sunday 11 October, 11:30 am, [project], Wakad. I'll meet you at the sales office myself. The location pin is below. If you'd like to see the show flat, it's open until 6 pm.Hi Mr Shetty, a reminder of your visit tomorrow, Sunday, at 11:30 am at [project]. Does the time still work for you? If anything has changed, tell me and I'll move the slot.Good morning. See you at 11:30 at the sales office. I'm Ananya, at the front desk. Message me here when you reach the gate and I'll come out to meet you.No problem at all. I've moved your visit to Saturday 17 October at 4 pm, same place. I'll send a reminder the day before. What to send after a site visit
Write the same evening, while the flat is fresh in their mind, and answer the question they asked on site rather than sending the brochure again.
Thank you for visiting [project] today, Mr and Mrs Shetty. You asked about an east-facing 2 BHK on a higher floor: 1403 is available, 812 sq ft carpet, ₹96.5 lakh. Shall I hold it for you until Wednesday while you talk it over?As promised, here is the payment schedule for 1403, and the list of banks offering home loans on the project. If anything in it is unclear, ask me here.Hi Mr Shetty, I checked with the site team: in 1403 the wall between the kitchen and dining area can be opened up, as you asked. Would you like to see the revised layout? What to send when a buyer goes quiet
Two follow-ups, each with something new, then a polite close that leaves the door open. More than that starts to feel like pressure. If the buyer has never replied on WhatsApp, each message also counts toward WhatsApp's monthly limit on new chats with people who haven't replied.
What not to send to a quiet buyer:
- "Sir, any update?" It asks them to do the work and gives them nothing new.
- Every new listing in your inventory. One well-matched option beats ten forwards.
- Urgency that isn't true. "Only two units left" works once, and costs you the buyer's trust if they find out otherwise.
- Messages late at night. Keep follow-ups to working hours, roughly 10 am to 8 pm IST.
Hi Ms Kulkarni, the owner of the Baner 2 BHK (BN-2B-114) has revised the price to ₹1.12 Cr. Still keen to see it? I can show it any evening this week.Hello Mr Iyer, a 3 BHK in Koramangala 4th Block came up today at ₹72,000 a month, semi-furnished, available from 1 November. It's not quite what you saw, so I thought you'd want to know. Interested?Hi Mr Iyer, I haven't heard back, so I'll assume you've found a place or the timing isn't right, and I won't keep messaging. If you start looking again, write to me here any time.Negotiation and booking follow-ups
Put every figure in writing, with what it includes, so nobody is surprised at the agreement. Keep negotiation in the one-to-one chat, never in a group, and warn buyers to pay only into the account on the booking form.
I spoke to the owner. He can't come down to ₹1.05 Cr, but he'll accept ₹1.10 Cr with the covered parking included if the agreement is signed by 31 October. Shall I tell him you're interested at that figure? To confirm what we agreed today: flat 1403, [project], ₹96.5 lakh, all-inclusive except stamp duty and registration, payable as per the schedule I sent. I'll share the booking form tomorrow morning. For the booking, please send your PAN card, Aadhaar card and two passport-size photos. The booking amount goes by cheque or bank transfer to the account printed on the booking form. Please don't pay into any other account, even if someone asks you to.Congratulations on booking 1403. Next, the draft agreement for sale should be ready for review in about two weeks, and I'll send it here first. Any questions before then, ask me here. How does a real estate sales team keep follow-ups on track?
Follow-ups slip when they live in one broker's phone. A few habits fix most of it:
- One owner per buyer: whoever will take them on the site visit owns the chat from the first reply.
- A company number per project or office, so buyers always hear from the same place and the chats stay with the business when a broker moves on.
- A follow-up date for every live lead, kept in your CRM or sheet.
- The messages above saved as quick replies, so a reply takes seconds and stays consistent.
In WavesFlo, each project's number is linked by QR code and its chats land in one shared inbox with every other number's, each marked with the number it arrived on. A sales head hands each enquiry to a broker; brokers set up as Agents see only the chats assigned to them. Labels such as visit booked or negotiating, set by hand, let the team filter; internal notes hold the budget and the shortlist; and the messages above can be quick replies, recalled with a slash. Replies can carry photos, PDFs, video, voice notes and location pins, up to 16 MB per file, so compress a heavy brochure first. Each linked number's phone still has to open WhatsApp at least every 14 days.
Nothing in the inbox schedules a follow-up: the dates live in your CRM or sheet, and the broker who owns the enquiry sends each one. For the wider set-up, see WhatsApp for real estate sales teams. The same routine works for ads that open a WhatsApp chat and for B2B portal leads such as IndiaMART leads, and other industries can start from these general follow-up messages.
Questions
What should my first reply to a property enquiry say?
Say who you are and where their enquiry came from, answer the question they asked, such as whether the flat is still available and at what price, and ask one easy question, such as whether they would like photos on WhatsApp. Send it within the hour in working hours.
What should I text a lead after a site visit?
Write the same evening: thank them, answer the one question they asked on site, and suggest a next step, such as holding a unit or a short call. Don't resend the brochure; they already have it.
How often should I follow up with a property buyer?
Whenever you have something new: a price change, a new unit, an answer to their question. If they stop replying, send two follow-ups a few days apart, each with something new, then a polite close.
What if a property lead doesn't reply on WhatsApp?
Send two follow-ups with something new, then close the loop politely and stop. If the buyer has never replied, each message also counts toward WhatsApp's monthly limit on new chats with people who haven't replied, as of October 2026.
Can I send the brochure and location on WhatsApp?
Yes. Send the brochure as a PDF with a short summary above it, and the site as a location pin. From WavesFlo's shared inbox, each attachment can be up to 16 MB, so compress a large brochure first.
Is a WhatsApp group or a one-to-one chat better for property leads?
One-to-one for anything personal: budgets, visits, negotiation and documents. Groups suit listings meant for everyone in them, while a buyer's budget and paperwork belong in a private chat.
