A Click-to-WhatsApp ad is a Facebook or Instagram ad whose button opens a WhatsApp chat with your business, with a message already typed for the customer to send. It works with a WhatsApp Business app number connected to your Facebook Page. Each lead arrives as an ordinary chat: the work is answering fast, once, and noting which ad sent it.

Most guides stop at setting the ad up. This one covers the part a sales team owns: who answers, how double replies are avoided, how to tell which ad a chat came from, how ad leads reach a sheet or CRM, and when a lead form ad suits better. Details are as of October 2026.

What is a Click-to-WhatsApp ad, and where do the chats go?

Meta calls them ads that click to WhatsApp. Someone taps Send message and lands in a WhatsApp conversation with your business, with a first message in the text box. Meta's default is a short hello asking for more information, and you can write your own. The ads can appear on Facebook, Instagram and WhatsApp itself, under the awareness, traffic, engagement, leads or sales objectives.

Every chat lands on one number: the WhatsApp number connected to the Facebook Page the ad runs from. A Page can connect several WhatsApp numbers and run ads on different ones, so a sales campaign can point at the sales number and keep support out of it.

How do you set one up with a WhatsApp Business number?

  1. Use the WhatsApp Business app on the phone that holds the number. Meta's ads also work with numbers on WhatsApp Cloud API platforms; this guide follows the app.
  2. Connect the number to your Facebook Page: on the Page, open Settings, then Linked accounts, then WhatsApp, enter the number and type in the code WhatsApp sends. You can also connect from the WhatsApp Business app or from Ads Manager.
  3. In Ads Manager, create a campaign, choose an objective, and at the ad set level pick Message destinations, then WhatsApp, with that Page selected.
  4. At the ad level, set up the chat: a greeting, suggested questions people can tap, and the message that appears in their text box.
  5. Set the budget and audience, and publish. Ads are reviewed before they run.

A smaller business can skip Ads Manager: the WhatsApp Business app on the web has an Advertise option under Tools that creates Facebook and Instagram ads leading to a WhatsApp chat, with your own budget, duration and audience. WhatsApp says the review typically takes 24 hours.

Why do Click-to-WhatsApp leads go cold?

An ad chat starts on impulse, from someone scrolling past. The interest is real but brief, and it fades for ordinary reasons:

  • The chat waits on one rep's phone while that rep is in a meeting, on leave or asleep.
  • The ad runs in the evening and at weekends, when nobody is answering.
  • Two reps both reply, or each assumes the other has.
  • The first reply asks what they want, when their typed message already said it.
  • Nobody follows up, because nobody owns the chat.

Each of these is a team problem, not an ad problem, and better targeting won't fix it.

How should a sales team answer ad chats?

Put the ad's number where the whole team can see it, give every chat one owner, and make the first reply specific. In WavesFlo that looks like this:

  • One list. The ad's number is linked to the shared inbox like WhatsApp Web, so its chats sit alongside every other number's, each marked with the number it arrived on, and replies go out on that number.
  • One owner. Whoever runs the queue filters for unread chats in the shared queue and hands each one to a rep, or, on Growth and Enterprise, round-robin gives each new chat to the next person in the team; to set rules for who gets what, see how to assign each ad chat to a rep.
  • No double replies. A colleague typing in the same chat shows live.
  • Context kept. An internal note records what the buyer asked and what was promised, and the customer never sees it.
  • A label for each ad, set by whoever picks the chat up, so the team can filter by campaign later.
  • Specific first replies. Quick replies are saved once for the whole workspace and recalled by typing a slash and a shortcut; the rep adjusts each one and sends it.

Out of hours, WhatsApp Business's own greeting message, set on the phone under Tools, can acknowledge first-time chats; WhatsApp notes that the phone needs an internet connection to send it. In WavesFlo, on Growth and Enterprise, the team that owns the ad's number can instead let keyword replies, a chatbot or AI replies answer the first questions, or have AI draft each answer for a rep to check and send.

How do you tell which ad a chat came from?

Give each ad its own first message. In the ad's chat set-up, replace Meta's default with a message that names the offer and carries a short code: "Hi, I'd like a quote for a modular kitchen (KP-OCT)" on one ad, "Hi, please send the wardrobe price list (WR-OCT)" on another. The code arrives with the chat, so the rep can label it at once. Customers can edit or delete the typed text before sending, so a few chats will arrive without a code; ask those people where they saw you.

Ads that send people to a landing page work the same way: give each page or campaign its own wa.me link with its own pre-filled message, which the free WhatsApp link generator builds. WavesFlo doesn't detect which ad a chat came from; the code in the first message is how you know.

Click-to-WhatsApp or lead form ads: which suits a sales team?

Meta's other lead ad asks people to fill in an instant form instead of opening a chat. The two need different habits:

Click-to-WhatsApp ads and instant form lead ads compared, as of October 2026
QuestionClick-to-WhatsApp adLead ad with instant form
Who writes firstThe customer, by sending the typed messageYou, after they submit the form
What you getA live chat and whatever they writeThe form's fields, downloaded from Ads Manager or sent to a CRM
How fast it movesAs fast as someone answers the chatAs fast as someone sees the lead and calls or writes
WhatsApp rulesThey wrote first, so a reply is expectedYou need their opt-in for WhatsApp, and in countries where WhatsApp is testing its monthly limit on messages to people who don't reply, unanswered messages count towards it
LoggingFrom the chat, by webhook (below)From Meta, for example with n8n's Facebook Lead Ads Trigger, which fires on each new lead

If your team can answer chats within minutes, Click-to-WhatsApp plays to that. If it calls every lead anyway, a form may suit better; then the limit on messages to people who don't reply is the one to watch.

How do you log every ad lead in a sheet or CRM?

From the first message. If you use HubSpot or Zoho CRM, connect it from WavesFlo's dashboard (Integration → CRM): once a workspace admin switches syncing on, each incoming one-to-one message is added as a note on the contact matched by phone number, and WavesFlo creates the contact if the connection is allowed to. Group messages never reach the CRM. For Salesforce, a sheet or anything else, WavesFlo sends a signed message.received event for every message arriving on a connected number, with the text and the ID of the number it arrived on. An n8n workflow can verify the signature, skip people it has already logged, read the ad code from the text, and add a Salesforce lead or a Google Sheets row. Events arrive at least once and can arrive out of order, so deduplicate on the event ID; the webhooks and n8n guide shows how.

Some ad chats arrive without a phone number. As of October 2026 WhatsApp is rolling out usernames, and someone who has one keeps their number private the first time they message a business, including from a Facebook or Instagram ad; you see their username and country until they choose to share their number. Ask for it before promising a call, because a sheet or CRM that matches leads by phone number can't match them until then.

WavesFlo is not a CRM. Stages and reporting on ad spend belong in your CRM and Ads Manager; the inbox's job is to give every chat one owner and an answer.

How do you follow up ad leads who go quiet?

Briefly. The customer opened the chat, so a follow-up about what they asked for is fair: one the next day with something new, such as a photo, a slot or a price, and one a few days later that closes the loop. Then stop. Before sending offers beyond their enquiry, ask and note the answer: WhatsApp's Business Messaging Policy requires opt-in permission for further messages and expects every request to stop to be honoured.

On a WhatsApp Cloud API platform, where Meta charges per delivered message, replying within 24 hours to a chat that a customer started from an ad on their phone opens a free entry point window of up to seven days, in which Meta doesn't charge for marketing, utility, authentication or service messages. The same routine fits IndiaMART enquiries and property enquiries from ads; how a sales team shares WhatsApp leads covers the rest.

Questions

Can Click-to-WhatsApp ads use the WhatsApp Business app?

Yes. Connect the app's number to your Facebook Page, then choose WhatsApp as the message destination in Ads Manager. As of October 2026 you can also create Facebook and Instagram ads that lead to a WhatsApp chat from the WhatsApp Business app on the web, under Tools, then Advertise.

How much do Click-to-WhatsApp ads cost?

You pay for the ad from the budget you set, like any Meta ad. As of October 2026, on WhatsApp Cloud API platforms, replying within 24 hours to a chat a customer started from the ad on their phone opens a free entry point window of up to seven days, in which Meta doesn't charge for marketing, utility, authentication or service messages.

Can several salespeople answer chats from one ad?

Yes. Every chat from the ad goes to one WhatsApp number. As of October 2026, on the free WhatsApp Business app, the phone and up to four linked devices can answer it, or up to 10 devices with Meta's paid multi-agent. A shared inbox lets more of the team work that number, with each chat assigned to one person.

How do I know which ad a WhatsApp chat came from?

Give each ad its own pre-filled first message with a short code, such as KP-OCT, and label chats by that code. Customers can edit the message before sending, so a few chats will arrive without the code.

Do people who message from an ad count as opted in?

They started the conversation, so replying about their enquiry is expected. WhatsApp's Business Messaging Policy requires opt-in permission before further messages, such as offers beyond that enquiry, so ask, record the answer and honour any request to stop.

How do I send Facebook lead form leads to WhatsApp?

Download them from Ads Manager, connect a CRM, or use n8n's Facebook Lead Ads Trigger to add each new lead to a sheet, then have a rep call or write. Because you write first, you need the person's opt-in, and as of October 2026 WhatsApp is testing, in some countries, a monthly limit on messages to people who don't reply.
