Follow up a WhatsApp lead within a day, then two or three more times over about two weeks, and stop. Each message should mention what they asked about, add one useful detail and end with an easy question. Only WhatsApp Cloud API platforms need pre-approved messages after 24 hours; WhatsApp Business app numbers don't.
Below: a timetable, the 24-hour rule explained, and 25 examples by situation: no reply, after a call, a demo or a site visit, after a quote, and the message that closes the loop. Replace the words in square brackets. For the message before these, see the first message to a new lead; for unpaid invoices, use payment reminders.
When should you follow up on WhatsApp, and how often?
The first follow-up does most of the work. Send it the next working day, while the lead still remembers why they wrote, and make it about them: the product, the date, the question they left open. After that, space messages out, change the angle each time, and stop after two or three that get no answer. Every message past that point makes muting or blocking you likelier.
| Situation | First follow-up | Then | Stop after |
|---|---|---|---|
| A new enquiry went quiet after your reply | Next working day | Day 3, then day 7 | A closing message around day 14 |
| After a phone call | Within the hour: a written recap | On the day you agreed | Two nudges with no answer |
| After a demo | Same day: the recording and the next step | Day 3, then day 7 | A closing message around day 14 |
| After a site or showroom visit | Same evening | Day 2, then the weekend | A closing message around day 10 |
| After a quotation | Next day: did it arrive? | Day 4 or 5, then before it expires | When the quote lapses |
| The lead asked you to wait | On the date they gave | One reminder a week later | Then close the loop |
Send in working hours, about 10:00 to 19:00 IST on weekdays for business buyers, and never late at night. There's a practical reason for fewer, better messages too: where WhatsApp applies its monthly limit on messages to people who haven't replied, each unanswered follow-up counts until the lead writes back. WhatsApp announced a test of it in October 2025 and hasn't published the number; the unanswered-message limit explains what counts.
Do you need pre-approved messages to follow up on WhatsApp?
Only if your number is on a WhatsApp Cloud API platform. The 24-hour rule many guides quote is real, but it belongs to Meta's Cloud API, which many business messaging platforms are built on. When a customer messages a Cloud API number, a 24-hour customer service window opens, restarting each time they write. Inside it, the business can send any message. Once it closes, only messages Meta has approved in advance can go, each charged when delivered, as they have been since 1 July 2025.
A WhatsApp Business app number has no such window. Meta's developer documentation, describing numbers that use both, says messages sent from the Business app are not subject to the customer service window and continue to be free. A rep on a Business app number, on the phone or a linked device such as WhatsApp Web, can follow up in their own words on day 3 or day 30. Other things limit them:
- WhatsApp's monthly limit on messages to people who haven't replied, announced as a test in October 2025, with no published number.
- The WhatsApp Business Messaging Policy, which covers the Business app too: message only people who gave you their number and opted in, and respect any request to stop, made on or off WhatsApp.
- Blocks and reports, which WhatsApp says it may use to limit the messages a business can send.
| Question | WhatsApp Business app number | WhatsApp Cloud API platform |
|---|---|---|
| A follow-up in your own words after 24 hours? | Yes | No: only a pre-approved message once the window has closed |
| What WhatsApp charges per follow-up | Nothing | From 1 October 2026, replies inside the window are free for the first 1,000 a month per business number, then charged; pre-approved messages outside it are charged when delivered, by category and country |
| The limit that bites | Where it applies, a monthly cap on messages to people who haven't replied (a test, with no published number) | A cap on unique people messaged outside the window in a moving 24 hours, from 250 for a new business portfolio |
| Opt-in and opt-out rules | Apply | Apply |
Follow-up messages when a lead doesn't reply
Most follow-ups are for silence: the lead wrote first, you answered, and nothing came back. Assume they're busy rather than uninterested and make the next step smaller. The first four suit the day after your reply. The next five are for later, and each changes the angle: something new, a one-word question, another way to talk.
Hi [name], [your name] from [company] here.
Did the price for [product] come through?
For [quantity] it works out to ₹[rate] each, delivered to [city].
Shall I hold this rate for you till [day]?Hi [name], the [product or unit] you asked about is still available.
I can send photos and the full specifications.
Would that help, or would you rather see it in person?Hi [name], I tried calling you this morning about [product].
Is there a better time today or tomorrow?
If WhatsApp is easier, I'm happy to answer here.Hi [name], to quote you correctly for [product], I need one detail:
[the quantity, the size or your delivery pincode].
Send it whenever you're free and I'll reply the same day.Hi [name], one thing that may help:
for [their use], the [variant] is usually the better fit,
because [reason]. Want me to send its spec sheet?Hi [name], are you still looking for [product or service],
or have you already sorted it out?
A one-word reply is perfectly fine.Hi [name], I don't want to crowd your WhatsApp.
Would a 10-minute call on [day] suit you better?
Or I can email the details instead.Hi [name], the [price, slot or stock] I mentioned is held till [date].
After that, [what changes].
Shall I keep it for you?Hi [name], [your name] from [company].
We spoke in [month] about [need].
[What's new: fresh stock, a new batch or a revised price.]
Is this still on your list?Follow-up messages after a call, a demo or a site visit
After a conversation, the follow-up is the written record of what was agreed. Send it while it's fresh, put the next step and its date in it, and attach what you promised: a brochure, a recording, a location pin.
Hi [name], thanks for your time just now.
As discussed: [point 1], [point 2].
I'll send the [proposal or quote] by [day].
Anything I missed?Hi [name], as promised, here is the [brochure or price list].
Take your time with it.
I'll check in on [day], unless you'd rather I didn't.Hi [name], happy to take [partner or manager] through it too.
Would [day] at [time] work for a short call with both of you?Hi [name], thanks for joining the demo today.
Here is the recording: [link].
The two things you asked about are at [minutes].
What would you like to see next?Hi [name], has your team had a chance to try it?
If it helps, I can set up a trial with your own data for a week.Hi [name], here's the pricing for [number] users on [plan].
Happy to go through it on a call with whoever approves the budget.Hi [name], thank you for visiting [project, factory or showroom] today.
Sharing the brochure and the location pin.
You asked about [question]: [answer].
When would you like to see [the other option]?Hi [name], did you and your family get a chance to discuss the [unit]?
I can send the cost sheet with the payment plan,
or arrange a second visit this weekend.Follow-up messages after a quote
Put the quote number, item and price in every quote follow-up, so the buyer never scrolls back. These four cover the usual path; the guide to quotation follow-ups has more, including replies to price objections.
Hi [name], just confirming quotation [number] reached you.
[Item], ₹[amount] plus GST at [rate]%, valid till [date].
Happy to clarify anything.Hi [name], any questions on quotation [number]?
If the quantity or specification has changed, tell me
and I'll send a revised quote today.Understood, [name].
If we [change: a larger lot, advance payment or a standard finish],
I can bring it to ₹[amount]. Would that work for you?Hi [name], quotation [number] is valid till [date].
After that the rate may change with [raw material] prices.
Shall I book your order at this rate? The last message: closing the loop politely
A closing message makes it easy for the lead to say no, or not yet. Either answer is more useful than silence, and the chat ends on a polite note instead of a sixth reminder.
Hi [name], I haven't heard back, so I'll assume [product]
isn't a priority right now. I'll stop following up.
If anything changes, just message me here.Hi [name], shall I close your enquiry for now?
Reply LATER and I'll check in after [month],
or NO and I won't message again. No problem, [name]. Shall I check back in [month],
when you're planning the next [order, term or season]?Thanks for letting me know, [name].
I've noted it and won't follow up.
All the best with [project].When someone says no or asks you to stop, record it where the whole team can see it. WhatsApp's Business Messaging Policy requires businesses to respect every request to stop, and a colleague who never saw the chat can't respect it for you.
How does a sales team keep follow-ups from slipping?
One salesperson can manage with the WhatsApp Business app, which stores up to 50 quick replies recalled by typing a slash. A team needs one owner per lead, a record of what was promised and the same wording in everyone's hands. How sales teams work WhatsApp leads covers the whole routine; this is the follow-up part in WavesFlo's shared inbox.
- Every linked number's chats sit in one list, each marked with the number it came in on, and a reply goes out on that number.
- Each lead has one owner, assigned by hand or, on Growth and Enterprise, round-robin within a team; unassigned leads wait in the shared queue. A live typing indicator stops two people answering the same lead.
- Internal notes, which the customer never sees, record what was promised: "Quoted ₹4.2 lakh on 3 Oct, valid till 17 Oct, call Monday".
- Labels the rep sets, such as "Follow up Mon" or "Quote sent", plus filters for label, unread and assigned to you, make each morning's follow-ups a short list.
- The examples above can be saved once as quick replies for the whole workspace: type a slash and the shortcut, fill in the brackets, send. On the free app you can save them as quick replies too.
- Every reply still passes the opt-out register, which fails closed, the emergency pause and the number's daily ceiling.
WavesFlo doesn't remind anyone to follow up or run follow-up sequences, and it has no deal stages: in the inbox, the rep who owns a lead decides when to write. Keep reminders and stages in your CRM. HubSpot and Zoho CRM connect natively: once a workspace admin switches syncing on, each one-to-one WhatsApp chat and opt-out is added as a note on the matching contact; group chats are never logged. For any other CRM or a Google Sheet, signed webhooks through n8n or Power Automate can log each new chat.
How do you follow up with many leads at once?
Sometimes forty leads need the same nudge, such as everyone who visited your stall at an expo. A broadcast list won't do it well: only people who saved your number receive a broadcast, some countries now cap broadcasts each month, and everyone gets the same text, with nobody's own product or quote in it.
A WavesFlo campaign sends each lead their own one-to-one message instead. Import the leads as a CSV and each row becomes one personalised message carrying that lead's name, product or quote number; the Google Sheets campaign guide shows how per-row messages are built and checked. Schedule it in working hours, with quiet hours as a backstop, and add approval if a manager should read it first. The opt-out register is checked at send time. Replies return to the shared inbox, and delivery receipts show what was sent, delivered, read or failed; the read rate is a floor, since people can turn read receipts off.
Questions
How long should I wait before following up on WhatsApp?
Until the next working day for a new enquiry that went quiet, and the same day after a call, demo or site visit. After that, leave three or four days between messages, and stop after two or three that get no answer.
How many times should I follow up with a lead who doesn't reply?
Two or three times over about two weeks, then one closing message, then stop. Where WhatsApp's monthly limit on messages to people who haven't replied applies, each unanswered follow-up counts towards it; as of October 2026, WhatsApp hasn't published the number.
Do I need pre-approved messages to follow up on WhatsApp after 24 hours?
Only on a WhatsApp Cloud API platform: once its 24-hour customer service window closes, a business can only send messages Meta approved in advance, charged per delivery. A WhatsApp Business app number has no such window, so you can follow up in your own words.
Is it okay to follow up on WhatsApp after no response?
Yes, if the lead gave you their number and agreed to hear from you, and each message adds something. Stop as soon as they ask; WhatsApp's Business Messaging Policy requires businesses to respect requests to stop.
Can I schedule a follow-up message on WhatsApp?
Not in an ordinary chat as of October 2026: WhatsApp's own scheduler for chats has only been reported in testing. Where business broadcasts are available, the WhatsApp Business app can schedule them, paid per delivered message, and campaign tools can schedule messages to a list. In WavesFlo, campaigns can be scheduled; a follow-up from the inbox goes when the rep sends it.
What should I write in a follow-up message to a client?
Their name, what they asked about, one new and useful detail, and one question they can answer easily, in three or four short lines. Mention the quote number, product or visit date so they don't have to scroll back.
