A good WhatsApp introduction message to a client says who you are and which company you're with, reminds them how you got their number, gives one useful detail and ends with a question they can answer in a word. Keep it to three or four short lines, in text rather than a voice note.

Which kind of first message you're writing matters more than the wording. A reply to someone who messaged you joins a conversation they started. A first message to someone who only left a number on a form or a portal starts one, and WhatsApp's rules treat that differently. Below: the parts of a good first message, when you may write first, 20 examples for B2B, real estate, education and insurance, a five-step sales script, and what to leave out. Replace the words in square brackets.

What should a first WhatsApp message to a client include?

Five parts, in this order, plus a sixth when you're the one writing first. Each fits in a line.

A way out, if you wrote firstLets people who'd rather not chat say soIf WhatsApp isn't convenient, tell me and I'll email instead.

Before the first message goes, finish your WhatsApp Business profile. WhatsApp shows customers your business name, description, address, hours and category, and the month and year you joined the WhatsApp Business app, and its Business Messaging Policy expects a profile with customer support contact details. A lead deciding whether to trust an unknown number can check it there.

Can you message a lead who hasn't messaged you first?

Yes, with their permission. WhatsApp's Business Messaging Policy, which covers the WhatsApp Business app as well as the Cloud API, says a business may only contact people who have given it their number and opted in to receiving its messages. A website or portal form that asks for a WhatsApp number and says you'll contact them there is the clean version of that. A number copied from a directory, or from a list someone sold you, isn't.

Three more things change when you write first:

  • If your account is in WhatsApp's test, your message counts towards a monthly limit on messages to people who haven't replied, until they answer. WhatsApp told TechCrunch in October 2025 that it was trying different limits and that the test would reach multiple countries within weeks; it hasn't published the number, and the unanswered-message limit explains what counts.
  • WhatsApp offers the recipient the option to block or report a business, and says it may use that feedback to limit the messages a business can send.
  • Portal leads are shared. IndiaMART describes a BuyLead as a buyer's requirement that it filters and shares with suppliers of that product, so assume your message lands next to your competitors'. Working IndiaMART buyers as a team is covered separately.

The easiest first message is one the lead sends. A click-to-chat link on your website and in your quote emails opens a chat with your number, with a pre-filled message if you like, so the lead starts the conversation in one tap. The WhatsApp link generator builds one, and messaging without saving a number covers opening a chat with a lead you haven't saved.

Introduction messages for insurance leads

Insurance needs more care: say who you represent, put no figure in a first message that you can't stand behind, and offer a call for anything personal, such as health conditions.

Hi [name], thank you for your enquiry about health insurance.
I'm [your name], an insurance adviser with [company].
To suggest the right cover, I'll need everyone's ages and your city.

A five-step WhatsApp sales script for a new enquiry

A script isn't something to paste in one go; it's the order a good conversation follows. Wait for the lead's answer before each next step.

  1. Greet and introduce: their name, your name, your company, and how you got their number.
  2. Ask one qualifying question: the quantity, the budget, the date they need it, or who it's for.
  3. Answer with one specific option rather than the whole catalogue: a price, a unit, a batch, a plan.
  4. Offer the next step, with a day and a time: a quote, a call, a visit or a demo.
  5. Confirm in writing what was agreed and when you'll be back in touch. From there, the follow-up messages take over, and if the next step is a price, here's how to follow up on a quotation.

Each step should fit on a phone screen without scrolling. If an answer needs more, send the PDF or a short voice note after the lead has replied, not before.

What not to send in a first message

  • A wall of text. Three or four short lines get read; ten get skimmed.
  • A voice note to someone who hasn't messaged you. It can't be skimmed, and they have to play it to find out who you are.
  • A brochure, PDF or link with no words. An unexplained file from an unknown number looks like spam.
  • A price you haven't checked, or a discount you'll withdraw on the call.
  • Several messages in a row. Send one, then wait for an answer.
  • A request for documents, payment or personal details before the lead knows who you are.

On a sales team, the first message is also where ownership starts. In WavesFlo's shared inbox, a rep can start a new one-to-one chat with a lead, and introductions like these can be saved once as quick replies for the whole workspace, recalled with a slash and edited before sending. An introduction goes when the rep sends it, and every reply passes the opt-out register first. Two limits to know: new conversations from the inbox go to one person, never a group, and a chat's history starts when its number was linked. WhatsApp for sales covers the rest of the routine, and after the sale, reminding customers about payment needs a different tone.

Questions

How do I introduce myself to a client on WhatsApp?

Start with their name, then yours and your company's, and say how you got their number, such as their enquiry on your website or a portal. Add one useful detail and end with a question they can answer in a word. Three or four short lines are enough.

Can I message a client on WhatsApp without saving their number?

Yes. Open a click-to-chat link: https://wa.me/ followed by the full number in international format, with no plus sign, leading zeros, brackets or dashes. WhatsApp opens a chat with that number, as long as it has an active WhatsApp account.

Is it okay to message a lead who hasn't messaged me?

Only if they gave you their number and agreed to hear from you, which WhatsApp's Business Messaging Policy requires of businesses. Say how you got their number and stop if they ask. Until they reply, your messages may also count towards the monthly limit on messages to people who haven't replied, which WhatsApp announced in October 2025 and has been testing in some countries.

How long should a first WhatsApp message be?

Three or four short lines, roughly 30 to 60 words: who you are, how you got their number, one useful detail and one question. Longer details can follow once the lead replies.

Should I send a voice note or text first?

Text. A lead can read text at a glance and see who you are before deciding to reply; a voice note has to be played. WhatsApp can transcribe voice messages on the listener's phone, but only if they've turned transcripts on, so keep voice notes for after they reply.
