A good payment reminder on WhatsApp names the invoice number, the amount in rupees and the due date, says how to pay, and stays polite even when it's firm. Send the first a few days before the due date, one on the day, then reminders about a week apart, in working hours, from the number the customer knows.
Below: what every reminder needs, a timetable from before the due date to a final notice, 20 examples (six for before and on the due date, six for overdue invoices, three final reminders, and five in Hindi and Hinglish), how to share UPI details safely, and how to remind many customers at once. Replace the words in square brackets.
What should a payment reminder include?
Everything the customer needs to pay without asking you a question:
- The invoice number and date, so their accounts team can find it.
- The amount in rupees, exactly as invoiced, including GST.
- The due date, and the credit period behind it, such as 30 days from the invoice date.
- How to pay: your UPI ID, a QR code, bank details for NEFT or RTGS, or a payment link.
- What to do if they've already paid: send the UTR or a screenshot, so you can match it.
- Who to contact about a query or a dispute, if it isn't you.
Leave out anything you wouldn't want forwarded to their boss or family: threats, sarcasm, capital letters for emphasis, and other customers' names. Keep reminders in the one-to-one chat. A payment reminder posted in a WhatsApp group, even a dealers' group, tells everyone in it who owes you money.
When should you send a payment reminder?
| When | Tone | What it does |
|---|---|---|
| 3 to 5 days before the due date | Friendly | A heads-up while there's time to schedule the payment |
| On the due date | Friendly | A clear reminder with the payment details in it |
| 3 days overdue | Polite | Assumes an oversight and makes paying easy |
| 7 to 10 days overdue | Polite and direct | Asks for a payment date, or for what's holding it up |
| About 3 weeks overdue | Firm | States what happens next under your agreed terms |
| About 30 days overdue | Final | A last written reminder before accounts call or a formal notice |
Adjust the gaps to your credit terms: a dealer on 45-day credit and a household paying monthly fees need different rhythms. Send in working hours, around 10:00 to 18:00 IST on weekdays for businesses, never late at night, and not on festival days. If a customer replies with a date, stop the sequence and remind them once, on that date.
Polite reminders before and on the due date
Before the due date, a reminder is a service: it helps the customer plan. Keep it light and make the payment details the main thing in it.

Assume an oversight first. Then ask for a date, and then for the reason. Each reminder states the amount and how long it has been overdue, without commentary.

A final reminder states a fact, a date and a consequence already in your agreed terms, such as pausing further supplies or service. Mention only what you will actually do, and only charges your terms provide for. A formal notice, if it comes to that, is for your lawyer or accountant to send, not a WhatsApp chat.

Kya aap is hafte payment kar payenge?
Koi issue ho toh bataiye, baat kar lete hain. How do you share UPI details and payment links safely?
WhatsApp's own safety tips tell people not to tap suspicious links or links from unknown users, and never to share an OTP or bank details. A genuine reminder should pass those tests easily:
- Send it from the number on your invoice, the one the customer already knows, and sign it with your name and company.
- Give a way to pay that doesn't need a link: your UPI ID, a QR code sent as an image, or bank details for NEFT. A payment link from your bank or payment provider is a convenience, not the only option.
- Tell customers the payee name they'll see in their UPI app, so they can check it before paying.
- Never ask for an OTP or a UPI PIN. Google Pay's help centre puts it plainly: you don't need to enter your UPI PIN to receive money, because entering it means you are paying someone.
- Don't plan on sending UPI payment requests. WhatsApp's help centre says that under an NPCI mandate, users can no longer request money from other users on WhatsApp Payments, and that all payment apps are being asked to remove the feature. Share your details and let the customer start the payment.
- Use the full link your payment provider gives you, not a link shortener that hides where it goes.
- Thank the customer the day the money arrives, and stop the reminders.
How do you send payment reminders to many customers at once?
At month end a business can have dozens of reminders to send, each with a different amount. WhatsApp's broadcast lists don't fit: a broadcast sends everyone the same text, reaches only people who have saved your number and takes up to 256 contacts per list, and in some countries free broadcasts are capped at 35 a month as of October 2026. A reminder without the customer's own invoice number and amount isn't much of a reminder.
A WavesFlo campaign sends one personalised message per row of a CSV, each in that customer's own one-to-one chat:
- Export the unpaid invoices from your accounts: one row per customer, with their name, WhatsApp number, invoice number, amount, due date and, if you use them, a payment link.
- Save it as a CSV and import it as a contact list. Keep this data out of a Google Sheet shared by link, which anyone with the link can read; the Google Sheets campaign guide keeps those sheets for offers, not personal data.
- Write the reminder once, using the row's details, so each customer gets their own invoice number and amount.
- Schedule it for a weekday morning; quiet hours keep messages out of the night.
- Turn on approval, so someone in accounts checks the list and the wording before the first message leaves.
- Send. The opt-out register is checked at send time, and anyone who opted out is skipped; chase those invoices by phone or email.
Replies come back to the shared inbox, one list for every connected number, where accounts can answer "paid yesterday, here's the UTR" and send a copy of the invoice as a PDF on request. Results come from delivery receipts: sent, delivered, read and failed, with the read rate a floor, since customers can turn read receipts off. Every report exports as CSV and JSON, which makes it easy to match against your ledger.
A payment reminder is the last message in a sale that started much earlier, with introduction messages, follow-ups for every stage of a lead and a quotation follow-up. Selling on WhatsApp as a team ties them together.
Questions
How do I politely remind a client about payment on WhatsApp?
Name the invoice number, the amount and the due date, give the payment details, and thank them. Assume an oversight in the first reminder and ask for a payment date in the second. Keep it in your one-to-one chat with them, never in a group.
What is a gentle reminder for payment message?
A short, friendly note sent just before or just after the due date, such as: Hi [name], a gentle reminder that invoice [number] for ₹[amount] was due on [date]; here are the payment details again. Thank you.
How do I write a payment reminder in Hindi?
Use the same parts as in English, for example: नमस्ते [name] जी, इनवॉइस [number] के ₹[amount] का भुगतान [date] तक करना है। UPI: [upi-id]. धन्यवाद। Keep the invoice number, amount and UPI ID in figures.
Can I schedule payment reminders on WhatsApp?
Not in WhatsApp itself, which has no scheduler for chats as of October 2026. Campaign tools can schedule reminders to a list; WavesFlo campaigns can be scheduled, held for approval and kept out of quiet hours, with the opt-out register checked at send time.
Can I send an invoice or a payment link on WhatsApp?
Yes. Send the invoice as a PDF and the payment link in the message, but also give a UPI ID, QR code or bank details, so customers who won't tap a link can still pay. Never ask for an OTP or UPI PIN: entering a UPI PIN means paying, not receiving.
