A WhatsApp sales funnel is the five stages a chat with a prospect walks through from first message to signed deal: capture, qualify, pitch, negotiate, close. On WhatsApp the whole funnel lives inside one chat window, so every stage is a message or two rather than a form or a call. This page gives you a template for each stage, the metric to watch at each stage, and the one spot where the chat has to leave WhatsApp for a CRM.

It is written for inside-sales teams that get inbound chats from Click-to-WhatsApp ads, IndiaMART, a website chat button or a visit to a shop, and that answer them from a shared inbox like WavesFlo, HubSpot or Zoho. If you run outbound campaigns, WhatsApp follow-up messages covers the per-stage copy for those.

Stage 1: Capture

The capture message is the one the prospect sees before anyone from your team has typed a word. It is a WhatsApp Business greeting message, set under Tools → Greeting message, sent automatically the first time someone writes to your number. Keep it to three lines: who you are, how fast you answer, and what you need from them next.

Hi, you've reached [Brand] on WhatsApp.
A sales person usually replies in 2 to 10 minutes, 9 am to 7 pm.
Tell us what you're looking for and your city, and we'll get you a quote today.

Stage 2: Qualify

The qualify step is where most funnels leak. The prospect gave you one line; you need to find out whether they fit your product. On WhatsApp, don't send a six-question list, send one question at a time and let them answer in short bursts.

Thanks for writing in. Quick questions so we send the right thing:
1) Which product are you looking at? [names, or options as buttons]
2) How many people / units is this for?
3) When would you like to start using it?
4) Are you the one who signs off, or should we loop someone in?
Qualifying questions, in order

Note down each answer in your CRM as the chat goes on. Assigning WhatsApp chats covers how to keep one chat tied to one owner so answers don't get lost between team members.

Stage 3: Pitch

On WhatsApp the pitch is a PDF, a short video or a product screenshot plus a one-line reason it fits what they said. Not a slide deck. Keep media under 10 MB so it opens on a slow connection, and name the file something a prospect would re-find in their chat later.

Based on what you said (team of [N], starting [month]) this fits:
- [Product variant] at [price] per month
- Setup in [X] days
- Includes [one differentiator they mentioned]
Full one-pager attached. Shall I block 20 minutes for a demo tomorrow?

Stage 4: Negotiate

Three objections show up in almost every WhatsApp pitch: price, timeline, and a competing tool. Have one short reply ready for each, pre-written in your Business app Quick Replies (Tools → Quick replies).

  • Price: name the next tier down or the longer-term discount. Don't just discount; ask what budget they'd expected and work from there.
  • Timeline: say exactly when you can start, and offer a holding step they can take now (a trial, a reserved slot).
  • Competing tool: don't trash it. Point to one specific thing it doesn't do that they said they needed in Stage 2.

Stage 5: Close

The close is where the chat has to leave WhatsApp for a payment link, an invoice or a signed contract. Send the payment link inline, with a one-line note on what the money covers and when access begins. Immediately after the payment confirmation, log the deal in your CRM against the chat; if you use HubSpot or Zoho, a native WhatsApp integration does this automatically.

Great, here's the payment link for [Product] at [price]:
[link]
Access goes live within [X] minutes of payment. The invoice goes to [email].
I'll stay on this chat for anything you need in the first week.

WhatsApp sales funnel metrics that matter

Four numbers tell you where the funnel is leaking. Track them weekly, not daily, because weekday mix skews daily numbers on WhatsApp more than it does on email.

  • First-response time: median minutes from Capture to the first reply from your team. Target: under 2 minutes in business hours.
  • Qualified rate: qualified chats divided by all captures. Target: 50 to 70 percent for warm channels, 20 to 40 percent for cold ads.
  • Response-after-pitch rate: pitches that get any reply within 48 hours. Below 40 percent means the pitch is wrong, not the pricing.
  • Close rate: closed deals divided by qualified. Compare like-for-like by product and by channel; a WhatsApp funnel from IndiaMART closes very differently from one from a Google ad.

The handoff into a CRM

Every stage above runs in the chat window, but the deal record lives in a CRM. The handoff happens at Qualify: once a chat passes the four questions, it becomes a deal in HubSpot, Zoho or Salesforce, and every message from that point attaches to the deal rather than only to the contact. WavesFlo runs the shared inbox, assigns the chat to one owner, and syncs the thread into HubSpot or Zoho as the deal moves through stages, which is the plumbing most teams end up building twice before they buy it. Larger teams with multiple branches and role-based access run this on Enterprise; the full comparison against WATI, AiSensy and Periskope is in comparisons.

Questions

What is a WhatsApp sales funnel?

A WhatsApp sales funnel is the sequence of stages a prospect's chat moves through on WhatsApp, from the first message to the signed deal, usually: capture, qualify, pitch, negotiate, close. Each stage is one or two messages, not a form or a call.

How is a WhatsApp sales funnel different from an email funnel?

It is faster, shorter and more conversational. Replies come in minutes rather than days, media is lightweight (screenshots, PDFs, short videos, not slide decks), and the whole thing lives inside one chat window instead of a sequence of separate messages.

What's a good first-response time on WhatsApp?

Under 2 minutes in business hours. On consumer WhatsApp, response-time expectations are set by messaging friends, so even a 10-minute wait feels slow. Teams that answer in under 2 minutes close noticeably more than teams that answer in 10.

Do I need a WhatsApp CRM for a sales funnel?

If you have more than four salespeople sharing one WhatsApp number, yes, because the Business app allows only four linked devices and no deal records. For solo founders or two-person teams, the Business app plus a spreadsheet works.

Which stage of a WhatsApp sales funnel leaks the most?

Qualify. Prospects write in with a one-line question, and most funnels either skip qualifying entirely (and burn the pitch on bad fits) or send a six-question survey (and lose the prospect). Asking one short question at a time is the fix.
