WhatsApp CRM software connects your WhatsApp numbers to a shared sales workspace so a team can see every customer chat in one place, log each one against a contact or deal, and reply from the tool they already use. There are two technical routes to that: the WhatsApp Business API, which runs through Meta's Cloud API and bills per conversation, and WhatsApp's Linked Devices feature, which carries the chat straight off the Business app with no per-message fee.

This page compares seven tools a sales team can pick from in October 2026: the two biggest horizontal CRMs with WhatsApp built in (HubSpot, Zoho), the two biggest add-ons for Salesforce and Pipedrive, Freshsales for teams that want it bundled, WavesFlo for teams that run many numbers, and WhatsApp Business itself for very small teams. Every price here is the vendor's published monthly rate as of 13 October 2026; conversation and session charges from Meta are extra on every API-based route.

What counts as WhatsApp CRM software?

A WhatsApp CRM has to do three things that the WhatsApp Business app on its own cannot: share one WhatsApp number across more than four people, tie every incoming message to a contact record that keeps notes and deal stages, and route or assign chats so one chat has one owner. Everything else, dashboards, templates, bots, is a feature on top. A tool that lacks the shared inbox or the contact-record link is a sender or a chatbot, not a CRM.

Three honest notes on this table. First, every API-based CRM also pays Meta a per-conversation fee that depends on template type and country, so the per-seat price is only part of the bill. Second, several tools lock the WhatsApp channel behind a higher tier than the price shown: Salesforce's Digital Engagement add-on is the obvious one, HubSpot's Service Hub for inbox routing is another. Third, WavesFlo uses WhatsApp's Linked Devices feature rather than the Business API, which skips Meta's conversation fee but caps the number of devices per account at four, so it is scoped to small inside-sales teams that want shared inboxes without a messaging contract.

WhatsApp Business API vs Linked Devices for CRM

The route a CRM takes decides what it can and can't do. The Business API opens a programmable channel: templates, buttons, catalogues, automated flows, and a formal provider contract with Meta. Linked Devices mirrors the Business app over Meta's own protocol: no templates, no catalogue, no bots, but every chat is a plain conversation that any WhatsApp user can reply to.

WhatsApp CRM pricing in India (2026)

On the Business API, Meta's conversation fee differs by country. In India as of October 2026, a marketing conversation costs around ₹0.78 and a utility conversation around ₹0.14 per 24-hour session (Meta publishes the official rates on developers.facebook.com). A CRM's per-seat fee is on top of that. For a team sending 500 marketing conversations a month to Indian numbers, Meta's cut alone is around ₹390 before any CRM subscription. Linked-device tools don't carry this fee, which is why they come out cheaper for inbound-heavy sales teams.

Which WhatsApp CRM should I pick?

  • You're already on HubSpot, Zoho or Salesforce: enable the native WhatsApp channel in that CRM. Switching the CRM to get WhatsApp is almost never worth it, because the data stays where the rest of your pipeline is.
  • You run a small inside-sales team (under 20 people) on one or two numbers and want a shared inbox fast: Freshsales or WavesFlo, depending on whether you want it bundled into a wider CRM or kept to the WhatsApp side.
  • You handle many WhatsApp numbers (sales territories, cities, product lines) and conversation volumes don't justify Meta's API fee: WavesFlo's linked-device approach is cheaper and sets up in minutes.
  • You need marketing templates, broadcast campaigns and chatbots: an API-based CRM is the only route; Meta's template approval is not optional.
  • You're a solo founder or a team of two: the Business app itself, with its labels and quick replies, is usually enough until the fourth person joins.

Where WavesFlo fits

WavesFlo is built for the case the API-based CRMs undercharge for: sales teams that answer customer messages across many WhatsApp numbers and don't want a per-message bill. It gives each team member a shared inbox, maps every message to a contact and deal with native HubSpot and Zoho CRM sync (plus webhooks for anything else), and keeps every number running through Linked Devices so there are no templates to approve. It is not a chatbot, a campaign tool for warm-leads outbound, or a replacement for a wider CRM; teams that need those still want HubSpot or Zoho underneath. Larger rollouts with SSO and role-based access live on Enterprise; every comparison against the API-based CRMs is in comparisons, and the FAQ answers pricing questions.

Questions

What is a WhatsApp CRM?

WhatsApp CRM software ties every WhatsApp chat to a contact record and shares the inbox across a sales team, so one chat has one owner and everything a customer said is attached to their deal. It is built on top of either the WhatsApp Business API or WhatsApp's Linked Devices feature.

Is there a free WhatsApp CRM?

The WhatsApp Business app itself is free and includes labels and quick replies, enough for a one or two-person team. Beyond that, every CRM charges a per-seat fee, and API-based CRMs pay Meta a per-conversation fee as well.

Does HubSpot have WhatsApp CRM?

Yes. HubSpot's native WhatsApp integration is available on Sales Hub and Service Hub, Starter plan and up (US$ 20 per seat per month in October 2026), and runs on the WhatsApp Business API with templates and reply-window support.

What's the difference between WhatsApp Business API and Linked Devices for CRM?

The Business API is a programmable channel with per-conversation fees, templates and bots, suited to high-volume outbound. Linked Devices mirrors the Business app with no per-message fee but no templates or catalogue, suited to inbound sales inboxes shared across a small team.

How much does WhatsApp Business API cost in India?

Meta's own fees in October 2026 are roughly ₹0.78 per marketing conversation and ₹0.14 per utility conversation, per 24-hour session, on top of your CRM subscription. The official rates are published on developers.facebook.com and change by country.
