Replace the spreadsheet your team uses to track WhatsApp chats
Move from a hand-kept WhatsApp tracking sheet to an inbox that records owners, stages and outcomes as people work: columns to retire and a four-week plan.

A tracking sheet exists because the inbox could not say who owns a chat, what stage it is in or how it ended. If the inbox can, every column agents type by hand can be retired. The move takes about four weeks and starts with listing the columns, because each is either something the tool records, something the tool counts, or something a person still decides.
| Column agents type | In WavesFlo | Who decides |
|---|---|---|
| Customer name and number | The conversation and contact | Nobody types it |
| Which number they wrote to | Marked on every chat | Nobody types it |
| Owner | The conversation's owner, by hand or in turn within a team | A manager or a queue |
| Status or stage | The opportunity's stage, or the ticket's status | The owner moves it |
| Last contact date | The conversation itself | Nobody types it |
| Next follow-up | A task on the opportunity | The owner sets it |
| Source | A label on the chat | The first person to touch it |
| Won, lost and why | Close reason on the opportunity | The owner chooses it |
| Notes | Internal notes on the conversation | Whoever knows |
How do you make the move?
- Week 1: list the sheet's columns and mark each as recorded, counted or decided. Link the numbers and invite the team in their roles.
- Week 2: write the stages and the close reasons, and the labels for sources. Keep the sheet read-only from now on.
- Week 3: run the weekly review from the reports, not from the sheet, and compare the two once.
- Week 4: archive the sheet. Keep a copy of the final state.
What about old chats?
New conversations from the date a number is linked appear in the inbox. Keep the sheet as the record of what came before, and import its contacts with attributes if you need to message them; an import never records consent, so confirm permission separately.
What goes wrong?
- Moving the columns but not the habit: if people still update a sheet, the reports are half empty.
- Too many stages. Five or six is plenty; more and nobody can tell them apart.
- No close reasons, so the loss report says nothing.
Once owners, stages and close reasons live on the conversations, the columns the sheet used to hold are filled by the work itself. WavesFlo for sales teams is the place to see that set-up for a team on several numbers.
Questions
How do I replace a WhatsApp tracking spreadsheet?
List each column, decide whether the tool records it, counts it or a person decides it, then run the weekly review from the reports and retire the sheet.
What about the old chats?
The inbox shows conversations from when a number is linked. Keep the sheet as the record of earlier ones.
Can I import my sheet's contacts?
Yes, as a CSV with the columns mapped. An import never records consent.
