Google Sheets, in-tool reports or your CRM for tracking WhatsApp?

When to track WhatsApp conversations in Google Sheets, when to use the inbox's own reports, and when HubSpot or Zoho CRM is the right record.

Use the inbox's reports for how the team is doing, a CRM for the customer's whole history, and a sheet for a raw log you want to query your own way. Teams get into trouble when a sheet is asked to be all three: it becomes a record people must maintain by hand, and it is wrong by the afternoon.

How does WavesFlo work with HubSpot and Zoho CRM?

Both connect natively. Once a workspace Admin switches syncing on, one-to-one chats and opt-outs are logged as notes on the matching CRM contact, matched by phone number, and contacts with a usable international number can be imported on demand or every six hours. Groups, status and channel messages are never logged, and an import never records consent. Other CRMs connect through n8n or Power Automate using the REST API and signed webhooks.

A rule of thumb

  • If a person must remember to type it, do not build a report on it.
  • If it is an event, log it; if it is a decision, let the tool record it as the work happens.
  • If two places hold the same fact, decide which one wins before they disagree.

In practice the three sit together: events in a sheet, outcomes in WavesFlo's reports, and one-to-one chats logged as notes in HubSpot or Zoho CRM. The features overview shows each of those pieces.

Questions

Can a Google Sheet replace a WhatsApp CRM?

Not well. A sheet is a good log and a poor record of ownership and stage, because people must keep it current by hand.

Does WavesFlo connect to HubSpot and Zoho CRM?

Yes, natively, with syncing off until an Admin switches it on.

Can I export WhatsApp reports to a spreadsheet?

Yes. Eleven reports export as CSV and JSON.
