How a dealership group runs WhatsApp across showrooms: enquiries tracked to a booking, service questions on a clock, reminders from a CSV.

A dealership group has two kinds of conversation that should not share a queue: a buyer asking about a model, and an owner asking about a service. Sales wants a pipeline from enquiry to booking; service wants a ticket with a clock. In WavesFlo the buyer's chat can open an opportunity on the pipeline, with stages and tasks but no quotas or lead scores, while your dealer management system stays the record for the vehicle and the service history.

How do you split sales and service?

A dealership group in WavesFlo
ConversationWhere it goesWhat tracks it
New-car enquiryA number marked for salesAn opportunity: stages, close reasons, tasks, a forecast
Test-drive follow-upThe same opportunityA task with a due date
Service question or complaintA service number set up for ticketsA ticket with first-reply and resolution targets
Brand or quality reviewRead accessA Viewer role that reads and never replies

How do you send service reminders?

Export the due list from your dealer system as a CSV and import it as a contact list. Columns such as name, model and due date become merge fields in the message, so each owner gets their own reminder, and a field with no value stops the send instead of greeting someone as “Hi ,”. Quiet hours, a cooldown per person and the opt-out register apply as to any campaign. See personalising bulk WhatsApp messages.

How is a group of showrooms organised?

  • A number per showroom, with access limited to that showroom's team.
  • A Team leader per showroom who sees their team's chats and hands them on.
  • A Manager per city or region who works the shared queue and sees every showroom.
  • A pipeline per brand or showroom if stages differ, with one view above.

What does follow-up look like?

A quote goes out, a task is set for a few days on, and the opportunity shows overdue on the owner's list if it slips. Quotation follow-up messages has examples for the wording.

What does the first month look like?

  1. Week 1: separate the sales numbers from the service numbers, and set which take tickets.
  2. Week 2: set the pipeline stages and the service policy's targets.
  3. Week 3: import the service due list and send a first reminder to a small group, with approval.
  4. Week 4: read the funnel for test drives and the ticket report for service, and adjust.

What are the usual mistakes?

  • Mixing sales and service in one queue.
  • Sending reminders to owners who have not agreed to hear from you.
  • Using one pipeline for every brand with different stages.

With the showroom and workshop numbers in one place, a model enquiry can go onto the sales pipeline while a service question opens a ticket on its own clock. How a sales desk runs its enquiries in WavesFlo covers the enquiry-to-booking half in detail.

Questions

Can a dealership use WhatsApp for sales and service together?

Yes, on separate numbers or teams: sales as opportunities in a pipeline, service as tickets with targets.

Can I send personalised service reminders?

Yes. Import the due list as a CSV and use its columns as merge fields in the message.

Can each showroom see only its own chats?

Yes. Access is set per number and per role.

Does WavesFlo replace my dealer management system?

No. It covers the WhatsApp conversations; the dealer system stays the record.
