Keep a Google Sheet of WhatsApp data safe: sharing, ranges and retention

A sheet that logs WhatsApp messages holds customers' numbers, names and what they wrote. Treat it like the inbox itself: give access to named people, protect the log from editing, keep the workflow's credentials out of the sheet, and decide in advance how long rows live. None of this is difficult, and all of it is easier before the sheet is shared than after.
| Control | How | Why |
|---|---|---|
| Named sharing | Share with email addresses; never Anyone with the link | A link travels further than you meant |
| Viewer by default | Give most people View; give Edit only to the owner | Rows should come from the workflow, not hands |
| Protected log tab | Data, Protect sheets and ranges, and restrict to the workflow's account and you | A stray edit changes a record |
| Separate view tab | Put formulas and charts on their own tab | Managers read the view and never touch the log |
| Least data | Keep times, chat ids and numbers; drop message bodies unless needed | Less to leak |
| Retention | Choose a period, and delete older rows on a schedule | Data you do not hold cannot be exposed |
| Credentials | Keep the webhook secret and API keys in the workflow tool, not in cells | Anyone with the sheet would otherwise have them |
| Download control | Turn off download, print and copy for viewers if the sheet allows | Fewer copies |
What should never be in the sheet?
- One-time passcodes, passwords and card numbers a customer typed into a chat. Filter these out in the workflow if you log message bodies.
- The webhook signing secret, the API key or any link that grants access to your account.
- Messages from groups, if the sheet is for customer chats.
What happens when the person who built it leaves?
Make the workflow and the sheet belong to a role account or a shared drive, not to one person's login. Otherwise, the day that person's account is closed the rows stop and nobody knows why. Write the owner's name and the date of the last review at the top of the Notes tab.
This is a practical checklist, not legal advice. What you may keep, and for how long, depends on your country and on what customers were told.
Inside WavesFlo, access is set by role and by number, data is processed in India, and the audit trail records who changed access and when. WavesFlo for large businesses sets out those controls for a security review.
Questions
Is it safe to put WhatsApp messages in Google Sheets?
It can be, if the sheet is shared with named people, the log is protected, credentials stay out of cells and old rows are deleted on a schedule.
Should I log message text?
Only if you need it. Times, chat ids and numbers answer most manager questions and hold less personal data.
Who should own the sheet?
A role account or shared drive, not one person, so the workflow does not stop when they leave.
